Gift batch appeal tie to assigned constituent appeals

Options
I want to import constituent appeals onto a large list of records. I know how to do this.


What I don't know is how to make sure in gift batch the gift appeal ties back to the constituent assigned appeal?  Also, does preassigning appeals help make batch entry faster? We mail monthly and get gift appeals from months ago, so I can't default the entire gift batch to one appeal.

    I know you said you know how to "import constituent appeals onto...records.  Just a suggestion that if you have a query of those records, I find it easier to do a Admin > Global Add of the assigned appeal to my records than to do an import (if did literally mean 'import').


    In batch gift entry, if I'm following your post, preassigning doesn't make a difference as the options to select for appeal are all your active appeals. You can use default if most of the gifts are for your most recent mailing and then just select different appeal as needed. I've also sorted out when entering my gifts in a batch those that didn't fit the defaults, enter all the gifts fitting the default and then removing the default to enter the remaining gifts. A field default can be added or removed anytime during the gift entry process.


    When I have put the appeal on the constituent record before gift entry I often use a business rule to tell me that the constituent received Appeal ABC. That does help in confirming selection of correct appeal.


    Just some ideas.


     
  • I have over 20K records that need the appeal and I think if I use query I'm limited to 500 at a time.

I was trying to make the batch process faster for my data entry folks, but we have so many appeals. I like the idea of using a business rule and will try that. Thank you!
  • If JoAnn's information about Batch has resolved your current issue, great.  If you're still looking for efficiencies, or have other situations where this might be helpful...


    You are limited to 500 at a time in RE...unless you use SmartPASTE from SmartTHING, which is free.


    If you stick with Importing, Zeidman Development's Importacular might be of use to you.  It is also free (at least for what you need), and if you are Hosted by Blackbaud, it should already appear in the Plug-Ins Section.
