Tribute Records - add to existing or create separate Tribute Constit Record

We just added the Tribute module. If donors give a gift in honor of an existing constituent, do you create a new tribute record for that person or link it to their existing record. I've seen it done both ways so would like feedback on how others handle this

We link it to their existing record. It helps us keep the data clean and helps us avoid having to track down tributes.

Agreed- defintely link it to an existing record. A duplicate record is sure to cause clutter and confusion.

We also link it to the existing record. I'm not really sure why some folks create a new record for this. The intended use case for the module is to add it to existing records, and not doing so just seems like it makes more work for no meaningful gain. Maybe someone will clarify this for us though.

Another question. Scenario: Bob and Sue Smith have a constituent record with Bob being Head of Household and Susan being the non-constituent. If she receives a gift in honor of her volunteer work I would add the tribute in their joint record, correct? But what if Bob if they both have constituent records with Bob being Head of Household. Would you add the tribute in their main record or Susan's record?

The moment Sue gets a gift made in honor of her, I would graduate her record from relationship to constituent. I think that should answer the second question too - tributes go on the records they're for.

Link it to their existing record. Much cleaner and you can still see any gifts in honor/memory of them within their own record.

One other thing you should know is that if the record has a spousal relationship, make sure it has it's own record, change that record to a Head of Household and soft credit all deceased spouse's gifts to spouse record. Also, update their Add/Sals.

Hi Julie, Good points. Also, we sever the "spouse" relationship with the deceased, and create a relationship with a relationship of spouse and reciprical relationship of spouse. That way, if someone later comes into the database and sees that the constituent has a "spouse" in the spouse field, they won't inadvertently change the addressee and salutation to a "Mr. and Mrs." (If you just "un-spouse" the relationship by unclicking the "Spouse" checkbox, don't forget to uncheck the "Automatically soft credit" box in the relationship.)
