Honor/Memorial Acknowledgee Letters

I am having a problem getting the Honor/Memorial Acknowledgee letters to process in the mail function.  I have the filters wide open but it tells me there are no records that meet my criteria.  I know there are several in the system and have even tried to narrow the filter to pick up some I know are there and still nothing.  I have tried to create a new letter and still get the same message that no records meet the criteria. 


I'm looking for any other ideas to check!  I ran it the a month ago and it worked fine for memorial acknowledgee letters and that is not working either now and nothing was changed between then and trying it yesterday.

    Do the acknoledgee's have valid addresses? Or maybe their "send mail to this address" is unchecked? I think I once had trouble when I was excluding deceased Constituents, too.

    I checked both those things and that is not the issue.  Any other ideas?

    You're probably going to have to talk yourself through your logic to find the problem. When you state that there are no records that meet your criteria, that's probably the truth. I would start by explaining to yourself (and to us if you want help) the exact criteria of your query, what your Include Gifts with these Dates options are, soft credit options, Inactive, Deceased and No valid address options, and then tell us which Honor/Memorial is missing and why you believe that Honor/Memorial gift should be included in the query results. I bet as you step through your thought process, you're going to find the problem.

    The constituent made a cash gift in honor of her granddaughter.  The gift is set up as a tribute gift and the grandaughter has a record with us and is marked as an Honor/memorial with an Honor record set up that they can donate to and she is also the acknowledgee and is marked as such.


    When I go the the mail function, honor/memorial acknowledgee and pull up the correct letter.    It is set to inclue all records and all gift dates.  Soft credis go to the donor,  matching gifts go to the MG company and it includes inactive, deceased, and NVA . 


    Includes the address and honor/memorial fields. 


    filters are all contituent codes, funds, appeals, campaigns, packages and solicit codes.  Tribute type is In Honor of; Honor and All of my honor letters are selected. 


    Gift types are all cash options.


    There are no Attributes and then there are the address fields.

     

  • Could it be that the gifts are marked as Acknowledged already? Sometimes one of our batch defaults (like "Not Acknowledged") gets accidentally changed and suddenly no mail comes out! Or perhaps the Export file got messed up or (gasp!) deleted. There are so many moving parts to these things that make them work so well - until they don't!

    I don't have Tribute module so don't know how it pulls. But I know I've had 'no records matched' a time or two when I've had the wrong Soft Credit option selected. To run a letter, does it need to be to option other than donor.

    The one last thing I would check is to go into the Tribute, find the Acknowledgee, and double-check that the checkbox before the Acknowledgee's name is checked. If it is not checked, that gift will not come through in Mail -> Honor/Memorial.

    No they are not,  That was one of the things I checked first.  I have run a query so I know what ones are out there that need to be acknowledged yet.  Thankis for the idea though.

    Tried to change that option and it made not difference.  Thanks for the idea though.

     

  • You mentioned "Gift types are all cash options". Are you sure the gift is a cash gift? Have you tried opening that up similar to opening up your filters and see if the Tribute comes through Mail when you process all Gift Types including Write Offs?
  • Is the correct letter selected for this type of gift?  I know I once selected a letter that was for donor thank you instead of acknowledgee and it would not print.  Check the letter you selected.

    Oh my goodness!  This is the best Christmas present!  


    I have only recently become involved in our tribute acknowledgement process, and there were no notes for how we did this.  As best I could tell from our records, it looked like we were manually creating these letters whenever we knew they needed to be done (but not on a regular basis).  I've been trying for a few days to figure out how to make it work through RE, and couldn't figure out why only some of my gifts were populating.  Then I saw this...and realized the acknowledgement checkmark within the gift itself was the common denominator for why some were working correctly and others weren't.
