Gift Adjustments

Just curious... who in your organization makes adjustments to gift transactions?  Is it the person who does gift entry or is it someone else?  Working on some policies and procedures and wasn't sure how others handled adjustments.

    I usually make global adjustments for receipt amount for gala tickets, while she does the day to day ad hoc adjustments

    In my opinion that will vary greatly depending on the org. We're small, I do all gift entry, write-offs and adjustments. For a large org with multiple data entry people I could easily see a case made for adjustments to be done by one person.

    We are a medium-sized organization (about 10 fundraisers), but myself (data entry specialist) and my immediate supervisor (Donor Operations Manager) are the only two that work in Raiser's Edge exclusively with gift entry, but we are both able to make gift adjustments. I handle all lockbox and regular cash gifts and she handles all of our Luminate gifts, so we try to stick to our specific side when making gift adjustments, just because we'll already have some knowledge about the gift when it came into RE. Also, we don't have software that talks to each other with Finance's systems, so we have to loop them in and make sure the adjustments are accounted for on their side as well, especially when fund and constituency changes are made.

    We have a data entry person that posts the gifts but I (database manager) am the only one who can make adjustments. This is more a case of past personnel issues as opposed to any best practices, though. We're also a pretty small shop (7 1/2 people).

    Currently I am the only person who can make adjustements (I'm the gift entry person). When the position is filled again, my direct boss (database manager) will also be able to.

    The gift processing staff, myself and my assistant.

    In my office, both the gift entry person and the database administrator handle adjustments.  We work together to make sure Accounting gets what they need as well.
