Exporting Tax Declarations

Hi all,


I was just wondering if anyone had suggestions on how to ensure that you export the most recent Tax Declaration when a constituent has more than one. There doesn't seem to be an option in the Output Criteria of an Export that would allow you to export by last entered or one currently applicable to gift entry, you can only export multiple columns to allow for other entries as far as I can see. Would greatly appreciate a bit of advice.

    A tax declaration is "A declaration to the tax authorities of how much you have earned during a particular year, used to calculate how much tax you will have to pay"


    Do you mean to ask how to print a consolidated tax receipt for your constituents? If so, what do you mean by "a constituent has more than one." Are you talking about two different fiscal years? Two different Campaigns? Two different something else?


    This sentence is also confusing "allow you to export by last entered or one currently applicable to gift entry"

    Thanks for responding.


    I work in the UK and we work with declarations that constituents make which allow us to claim an extra 25% on eligible gifts. However, constituents can change their declarations at any time, and we import new declarations with each online gift. Therefore, we have several tax declarations for many of our constituents and we try to individualise wording on our mailings that allow us tell constituents if we hold a declaration for them, but if there are conflicting declarations we want to use the most recent to complete this. Without having found an easy way to export the most recent declaration I do my best to export more than one declaration in my export, but this does not always give me the most up to date information and requires manual manipulation I would would prefer not to do if there is a simplier way to do this that I have not discovered yet.

    I or other non-UK users might be able to take a guess if you can explain which field you store the data in (Gift Attr?) as well as offer what a sample entry might look like in that field? Depending upon the value you store in that field there may be something to help us determine which declaration is the most/more recent. We also might be able to leverage Date Added or Date Last Changed depending upon which field you use to store the data.

    I completely understand that it is something that may not be present in non-UK systems but it's something that's on the BIO 1 tab and shows up in Queries and Exports under the Declarations heading. Sorry I don't have pictures of the Export tool but I'm working from home today and do not have access to RE here, and I cannot find examples online or in Knowledge Base. I can provide these later if you want but here's a few examples of the actual Declarations window how and how it fits within Bio 1.

  • Hi Christina,


    If you were to change your export format to Blackbaud Report Writer, that would allow you to export all declarations for each constituent into an Access database which you could then use as the basis for a custom report. It should be possible to write a formula in Crystal to display only the most recent declaration for each constituent; you could probably go even further and also hide the most recent declaration if it's no longer valid. Happy to give you a hand with figuring out the specifics if you like!
