Query Constituents without Active Phone number or Email Address

What do you recommend as best practice in quering constituents without active phone numbers and/or email addresses?

  • Hi Jonathan!

Sorry to answer your question with a question but it depends on how you have your phone numbers/emails coded and what version of RE you are on

I'm on 7.93 and I believe it isn't until 7.94 or above where phone numbers/emails are active or inactive

So for me when I'm querying on donors who have email addresses I use criteria like this:

    email is blank

I have a lot of different phone number types so if I was looking for a donor without any phone numbers at all on their record the criteria would probably be

    home is blank

    AND cell is blank

    AND business is blank

    etc.

If you are on a more advanced version maybe someone else can give you better information

  • oooops...I meant if I was looking for donors without email addresses the criteria would be email is blank  :)
  • Joanne Felci, thank you for your response.  I am using RE 7.96.  I will try to query using the blank criteria you mentioned.  I am wondering if I would have to do this for each phone/email type.  Also, would this cause duplicates?

  • It depends on what you are ultimately trying to do - what your end purpose is

If you are trying to create a list, I'd suggest gathering the group with a query then connecting that query with an export, because yes if you have multiple phone types within the query you could end up with duplicates in the output of the query

Also I'm thinking someone who is on 7.96 might have better advice as since there is an inactive phone type there might be a much more simplier way to query on that

    Good luck!

    Joanne
  • You'll need to create a constituent query.

I would suggest for each phone type that you're using to reflect a phone number, you'd have a parenthesis query along these lines:

    ( Home Number = blank

OR Phone Do Not Contact? = Yes

    OR Inactive = Yes )

AND ( Business Number = blank

OR Phone Do Not Contact? = Yes

    OR Inactive = Yes )

--------------------------------- Repeat, including emails, cells, phone 2, etc ----------------

This should give you a number of constituents that cannot be contacted via phone or email. The query itself won't create duplicates - they only occur when you output something that is repeatable or Constituents can have multiples of, such as Constituent Codes or Phone Numbers. Use this query, as suggested by Joanne, as the base for an Export or a Query List and you shouldn't have duplicates.
