Pulling names for mailing list

Options
I am asked to pull names for our annual appeal mailing list.  The criteria I am given includes gift records as well as individual records.  Is there an easy way to do this?  I don't believe I can create a query asking about gifts given during a certain date range as well as criteria based on an individuals constiuent codes can I?  Now I run each query separately, then export.  I then copy and paste into one excel document.  It is time consuming and contains many duplicates.  Any suggestions?

  • Maybe you want to share your criteria in detail.  You should only need one query (Constituent) and then use the summary information tab. When you need to have 2 queries, you can merge them:

    Also is there a reason you are you using Export instead Mail/ Quick letters? In Mail you have a segment option and also several exclusion and inclusion options already set up.

     

  • Just note though that you can only merge two queries of the same type. You can not merge a constituent query with a gift query.

    did not use giving summary so I will try that.  I have not
    used the quick letter/mail function in a long time and not real
    comfortable with it.  I will look into trying that
    also.

  • If all else fails, my preferred method is to use a temporary Constituent Attribute.  Set the Attribute to Allow Only One, and then add it using Global Add to your various Queries.  Each Query can then be simple in its criteria.  As you work thru them, you'll get more and more exceptions because it won't add duplicate Attributes.  Once you're done, you can then Query on that Attribute.  And use a Query List if you need to further edit within RE.  If you have a hierarchy and need to segment, you can use the Attribute Description and then just be sure to add the Attribute to Queries in the correct, hierarchical, order.


    EDIT:  Once you're finished, you can Globally Add or Import your list as Appeal (and Package if applicable) and delete the Attribute.
