Legacy Information

Options
My organization has not had a set way of tracking this information in RE.  I was wondering if there was a best practice for entering information into RE for Legacy information.  Someone just sent us a letter pledging $ from his will and i would like to add this document and some information about constituents who plan to leave a gift to our org in their will.

    There are various options, depends some on the modules you have. We do not have the planned giving module.

    We add a constituent code. In your case something like "Legacy Donor". Broad enough to include bequests in wills, insurance, cash, etc.

    Then we use constituent attributes. For description we have a table with those above types. We plug anticipate amount in Comments field. We don't record as a gift until received. Some might consider it a pledge.

    At this point we just keep hard copy of letters/forms. When time allows I would like to scan the documents and put in the record on media tab.

    As others will tell you -- there are various ways of recording this info depending on the modules you have and what you want to do with the info, how detailed it may or may not be.

    Often, if you have the Prospect Module, it is put there.  If you do not have it -- Actions would be another place to keep it.  I have seen a few keep them as pledges with a due date that is 20+ years out (as a guesstimate).

    Whichever way is chosen, the bare minimum and oftentimes in addition to the detailed info being in one place on a record in RE, there is a Constit Attribute added that is just a Legacy Society (or whatever you want to name it) -- because there are times, usually at least once a year that that list of folks needs to be called up, either for an Annual Report or some other recognition purpose. And it's most direct to have an attribute tag those folks that have told you that you are in their estate plans, even if you do not have detail, you can minimally do this and use the comment field to record a date this notification took place.

    Your process is very similar to ours.  We are starting to put a proposal on the record and we do scan the documents so they can be found in one place.

    We use the Prospect/Proposal module. There's preset places for the expected amount, media, status (e.g. Considering vs Confirmed), actual amount (after it is realised), notes, attributes etc. You can also link Actions to the Legacy gift for when the Legacy officer goes out and meets with them.


    We also mark the constituent with a ConsCode and have a Business Rule so we know when we're dealing with one of our Legacy Donors.

  • We use a "pledge" gift to track the expectancy, with a gift subtype of Planned Giving, and also a constituent attribute to identify them as being part of our Legacy Circle.  We do not have the planned giving module.
