Tax Statements

I am wondering how everyone does their Tax statements?  We used RE last year but it was in a rush bc someone that was suppose to be doing them failed to get them done so i had to step in and run them thorugh RE and that was fine but we had some errors and the handling of DAF and soft credits.  Just wanted to to see everyones suggestions

    I know there are some reports or something in RE for tax statements but that is not how I do them.


    I pull the data using a combination of a query (to find the records I'm interested in - we only send these statements to donors that give 3 or more gifts in a year) and export.


    From the export we do a mail merge into a Word letter (after we clean the export up of course)

  • We also run exports which total up the Receipt Amount of all the gifts for a year for each individual.  That Receipt Amount should, if you're entering gifts correctly, be the amount that counts as a tax deductible donation for the year.  We just export it all to Excel and the build a mail merge with a tax letter from there.


    We have a pretty complex fund system, so we can also double-check receipt amount against the total Fund Split Amount to tax-deductible funds, but a lot of organizations don't do that.
  • Would you mind sharing your mail merge?  Last year we used the annual statement with RE and we had some issues.
  • Our tax export is really pretty boring. 
    We just list out the contact info (Primary Addressee, address, etc)
    and then we total the Gift Receipt Amount for the year.  We do
    NOT give an itemized listing of gifts.  We’ve found that gets
    to be way too confusing for donors.

    We use the RE Annual Statement.  We/I pull a query of those that we are sending to, that way it can also help filter out the gifts that do not count (we have some pass through stuff that we record but is not counting toward our fundraising goal, and the event related funds that are invoiced separately throughout the year because event tickets etc are not tax deductible in the same way as a gift).  That query is utilized in the Annual Statment Report.  We include a general cover letter to all explaining which is included on the tax statement.
