Post-Event Mailing List Export Questions....

Good morning! I recently worked with RE support to make a Query/Export combo to make a mailing list of event participants, and I've run into some questions now that the event is over and I'm exporting the data.


Specifically, we have some folks who attend, who come on behalf of a sponsoring Org, but do not have constituent records. They therefore will not show up in the export. This leaves many people off of my post-event mail list that I was hoping would be a pretty easy thing to complete. Any suggestions or tricks I may not know for getting more people into my export....short of creating Constituent Records for each and every person?

    First thing I'd try would be putting them as a relationship on the Org record. That way you also have a trail for what org they are attending on behalf.  Contact type Event. Include those in your query/export. I don't have Event module but that's how I'd try to capture with it.
  • It's been a while since I've worked with them, but you can create Participant Records for a non-constituent who attends an Event.  Hopefully someone who does this a lot will chime in with better information.  Until then, I would check out the Knowledgebase and/or experiment with a dummy record in RE to see what you can do.
  • Try the following

    1. Run a simple PARTICIPANT query that says Event Id equals ....for output choose Name and Constituent Ids. You should see some that do not have a Constituent Id, these would be your non constituent guests.


    2. Then use this query in export. On the first tab of the exports where it says "include these types of participants" make sure all of them are checked.

    Is it a Constituent Export?  Or a Participant Export?  You'll need a Participant Export to get the non-constituent folks.

    Yep, ditto what John said.  A Participant type export will grab all your people in whatever event, regardless of whether or not they are an actual constituent record or not.
