Print Name for an Organization

I'm working on creating a listing of all donors to a certain fund, so I'm adding an Additional Addressee Type to all their records. We have an organization that wants to be listed as "The Atlanta Directors of XXX, LLC, Person 1, Person 2, Person 3, Person 4, and Person 5". Is there a way to have this on the organization record so when I query based on the addressee type it will pull?

    How are you including a recognition listing for other organizations? 


    As we often have orgs that want listing different than the company name in RE we use an alias.  The two options I've seen on forums ror recogntion listings are an attribute or an alias. If orgs use an attribute, I believe they use if for all recogntion listings, org and individuals. We use an addressee type and an alias. I like this over attribute as so much less chance of error/typos.  Any corrections to name of an individual are automatically made in the addressee also. For alias, I just copy business name and paste it over into the appropriate alias. We have several recognition addressees and alias for our different campaigns. To generate the list, I take a query of donors to Export function, export those fields and then just combine the two columns.


    If your naming all those individuals to too long for the field whichever option you choose I would make a note in all caps: SEE NOTE ON RECORD and on their record create a note with the specifics of the listing. Then this would need to be manually edited when you run your list.

    I use an attribute.  I used to use aliases but you cannot make global changes or imports to them, so they can be difficult to manage on a large scale.  I'm not crazy about the attribute but it is very manageable.

    Are you running a Constituent Query?  If so, you should be able to pull Attributes: Specific Attributes: Then the name you are looking for.


     

  • Hi - I came across a problem with this as well in trying to capture everyone who had a specific attribute, even if the description, date, and comments were all blank (mostly looking for keying errors). If you want it in your output that's easy, but if you want it in your criteria, that's a different matter. Use the following: Constituent Specific Attributes [whatever it's called] Import ID Not Blank. {Why can't I get anything to copy and paste in here?} If it exists, it has an Import ID, even if all the other fields are blank.

  • At my last org, we chose Attributes, for everyone.  The initial setup I did with Global Add and Import.  Then it became a part of setting up a new Constituent Record (if you have a large database, you could periodically check for those records that don't have the Attribute and use Global Add or Import).  For an organization, I'd typically copy-and-paste the Org Name and for an Individual, I'd check the Editable box on the appropriate Addr/Sal, copy-and-paste, and uncheck Editable.


    I like the Attribute because if someone discovers a nickname or a middle name and edits those fields on Bio 1, it won't affect the Attribute (where the Addr/Sal is automatically updated in most cases.)  In our ack letters, that Attribute was included as something like:

              <Donor Listing Attribute>

              How you will be listed in our publications.  Please contact our Development Office at xxxxx to make changes or corrections.

    So we didn't want to send them a letter with "Dr. & Mrs. Robert Hernandez" and then have someone add her hyphenated name (unless, of course, in response to a call from the donors requesting a change in the listing) and the Addr/Sal changing to "Dr. Robert Hernandez & Mrs. Wendy Smith-Hernandez".
