Using RE to track Scholarships Using FUND

I'd like to ask other Raiser's Edge users how they use RE to track and manage scholarships? We have a fund for each scholarship but it is limited to just using the attributes to track the award amount, # of awards, etc.  

Currently, we track everything in Excel. I would like to be able to generate reports directly from RE rather than excel.  

I've talked to another institution where they actually created an individual record for each scholarship, only because of the other tabs available like media, gifts, donations.


For stewardship purposes, we use our excel files to generate renewal letters for annual scholarships.


I'd like to know what other organizations do.


Also, with the announcement of Blackbaud acquiring AcademicWorks, maybe it is better to go that route rather than using RE as a scholarship management tool when it is not.

  • We will be going live with Academic Works this October but we do currently create a constituent org record for each scholarship and endowed fund.  However, once we go-live we will be deleting all those records once everything is converted and tested.
  • When inheriting the database a couple of years back we also had a fund for each scholarship - we have now moved to a method whereby we have an organisation record for each scholarship and this is working much better for us. We soft credit gifts from the donor onto the scholarship and also use attributes to specify restrictions - we also create relationships between the scholarship and the scholars.

  • Like you we have a Fund record for each scholarship, and link the donor/honouree as a relationship to the fund. from there we can can track donation to the fund.


    For the tracking of awards made to students we add it as an Attribute to the student's record record:

    Category: Scholarship

    Description: a table with all of the award names

    Date: I use 09/01/yyyy for fall and 01/01/yyyy for winter term

    Comment: I enter in the dolar value of the award (or a note of "1/4 - $1,000" for a four year renewable, or "deferred", etc.)


    I can then run a query on the date to see what awards went out in a given term, or from the description I can run a query on the awarding from a specific fund.

    Like you we have a Fund record for each scholarship, and link the donor/honouree/contact as a relationship to the fund. I'm using fund type to identify annual or endowed scholarship.


    For the tracking of awards made to students we add it as a Fund Relationship to Student's record:

    Relationship: Recipient

    Reciprocal: Scholarship

    Date From: 09/01/2017

    ​Date To: 12/31/2017

    Notes: $$$ value


    Then I run a query to see semesters, amounts, scholarships, recipients etc.


    ​For annual scholarship renewals - whoever is the contact for a scholarship I create a fund relationship (scholarship contributor) and in Notes I add a $$$ value what's requested in scholarship renewal letter for specific term. It's easy to track down.


    ​Generated renewal letters we store in scholarship's contact record under Media.
