Changing Event Attendance from 'No' to 'Yes'

In the 'Events' tab in Raiser's Edge, is there an easier way to change a constituent's attendance from 'No' to 'Yes' without having to double-click on each individual name within that event?

Yes you can do a Participant import to make this change

Here is a link to a KB article that has a link to a sample data file

You will need Constituent Import ID (if it is someone who has a Constituent record), the event Participant ID, Event ID and you can then have a column for Attended and those rows will have Yes or No and you can just change the Yes to No for those participants that did not attend

I came here to say exactly this. Figure out who attended, get their IDs, and do an import to globally update the info. Much easier that way :)

I use Global Change - by running a participant query of everyone that attended and then Globally Changing Records (in Administration). This is really quick, but only works if you can group all the participants that attended using a query (for example when everyone who was registered, attended) - if you can't group the participants, an import is probably my preferred method. There is a Knowledgebase article Here which gives some different ways of globally updaing participants.

  • Thanks Suzie!

I'll have to try this sometime.

So often I need to change attendee names so the import is the only way to go but when it is just attended to not and other things the Global Change might be the easier way to go.

Thanks so much for sharing this info
  • Cathleen...you have just rocked my world!
  • Now if there is a way to global delete attendees then my world will be complete...

Not sure why BB is hiding some features so well.

I probably should also mention that in the Tools tab after you Click edit, you have to right click on Attended to "Check all" at the same time.

Regarding a global delete of Participants, I have not tried this plugin yet, but it might be useful for you...

I may be missing some complexity to the question, but if you have the event open, you can Ctrl click all the participants who did attend and them click the Mark Attended button on the toolbar to the right of 'Find'. If the majority of people attended, sometimes it's easier to select all and then mark all as attended and then do the Ctrl click selection to mark the few who didn't come as Not Attended using the same method. Or are you trying to do something more complicated?

  • I think the issue may be that there are just a lot of attendees and even more invite-ees in the list. Hunting and finding and cntrl+select is fine for a list of 40 or 50, but not as much for a list of 500.
  • Thanks Cathleen!

If I download/use the plug in (more like if I can convince IT to do this as I have no power) I will report back...nice to know something exists
  • Cathleen - I downloaded the Global Participant Delete plug in and it is AWESOME!

  • Good to hear that and thank you for sharing with the group.

  • Learn something new every day!  I love the tips that have been shared here.  I'm going to test one or more after my Gala in October.  Thanks, everyone!
