Constituent Naming and Community Foundation DAFs

Hi,


We currently label our community foundation DAFs as "Omaha Community Foundation-DAF Name" or "Omaha Community Foundation-The Name of the Foundation" but I'm beginning to think this is less helpful, especially when we go to search or export for a mailing. How do other organizations name the constituent when it is a community foundation DAF or another foundation administered by the community foundation?

  • I would use "The Robert & Wendy Hernandez Fund" with an Alias of "Hernandez Fund" for easier searching.  I also preferred (although not all of my coworkers followed this) to omit punctuation from the name and aliases, because it means fewer aliases are needed to cover the primary probable search terms.


    At my last two orgs, we kept the Donor Listing as a Constituent Attribute (so it's useable for both Org & Ind records) and I'd populate that as well.  (This one would have proper punctuation, and use any requested language from the donor.  Plus, there's no character limit on an Attribute Description, whereas Org Name--on Org 1--is limited to 60 characters.)


    Then a Relationship Link to the recor for "Omaha Community Foundation"...with the automatically soft credit option on.  Another Relationship to Robert's and/or Wendy's individual record(s).  At my last org, we also had a Constituent Attribute that showed which foundation this fund was held at (for a specific report where I found it easier here than using Relationship links).
  • We create orr records with the name in the format of "John and Jane\\Doe Family Fund of the XYZ Foundation". Because we sometimes run up against a character limit, we sometimes have to abbreviate Foundation as Fdn. So we also enter the full name as an alias for acknowlegement and annual report listing purposes. Note the backslash in the name. I use this so that we only need to search the name "Doe" or "Doe Family Fund" and so that when I sort a list from RE, they are automatically listed in the D's, which comes in handy for annual report listings. We then of course link the record via relationship to the XYZ Foundation and to the constituent record(s) for John and Jane Doe.

    We create a separate record for the DAF and link the community foundation as an org relationship, and soft credit gifts. You can also add an alias for search purposes "[DAF name] at the [Community foundation name]".

    We too list the DAF as a Org record and link with the individuals through the Relationship Tab.  And use soft credits.

    Yes, we do!  Then we send the tax receipt letter to the entity that distributed the donation, and send a non-tax thank you letter to the individuals.

    I also copy the DAF name into the "reference" field so that it is visable on the Gifts tab when viewing the soft credit record on the Community Foundation record.

    Thank you! That was very helpful. Follow-up question for you, what did you select/set as the relationship and reciprocal be between the Fund and the Community Foundaton?

  • I think (I don't work with that org any longer) that we used "Donor Advised Fund" and "Fund Administrator".  But we never got to the point of being consistent with those fields with regard to organization relationships.
