Luminate Online - Procedures Manual

I'm wondering if anyone has created a Luminiate Online Procedures manual for your organization and if you'd be willing to share? We have inquired with BB and although one does not exist formally (that BB has created) we are feeling the increasing need to create one. Thanks in advance (TIA)!

    I'm very interested in this too. As the BBU Luminate Curriculum Lead, I've been considering developing a class or two to help walk Luminate Online customers through developing a Policies and Procedures manual. I'd love feedback as to what people are doing and what information would be useful in a class. If you don't want to post publicly, please feel free to message me privately.

    A class would be helpful as we are still struggling with how some things are connected and best practices. Like Kimberley, I wouldn't know where to start with a Procedure Manual, but know we should eventually have one.

  • When I was at Defenders of Wildlife, WWF, and Avon, I wrote Standard Operating Procedures (SOPs) for specific things (modules, scenarios, updates as features were released), but they were highly specialized to the business rules and configuration settings for each organization. I created a few "templates" for how content should be structured for the creation of action alerts or donation forms - there's a screenshot below.


    As a former Convio employee and someone who has used LO for ~10 years (and whose role at those organizations skewed towards "LO Systems Administrator"), I don't think that should be a responbility of Blackbaud to provide process or procedures beyond the documentation they already provide in the Help (or Knowlege Base or whatever they're calling it now). Each of the modules contains process navigation and it's up to your organization to decide what and how the system is used - especially when it comes to naming conventions, permissions and security categories/wrappers.


    Find or define a "Systems Administrator," give them a project manager hat, find a template/structure that works for your org and tell the business owners to document how they do what they do for your org - whether that's send email, make survey, create a ticketed event, etc - then unify that the underlying Site Data Parameters and business rules for why things are they way they are and ta-da!

    We have a variety. We use Importomatic to get Luminate data into Raiser's Edge, so that's a long document, and then we have a variety on how to upload or download data that are based on directions found in Luminate but customized for our uses.

    Paul, I'm curious to see if you created this "genericized" template, too. Would be happy to share it more widely with Luminate customers and give you credit! :-)
  • We just finished our first TeamRaiser, and would like to be in on the LO procedures and policy manual discussion. I generated a flow chart for how to bring constituents and gifts through the RELO plugin. It's conservative based on advice I received from LO support recommendations, and required a lot of RE merging of duplicate records. I'm not 100% convinced that it needs to be this conservative, but it's how we are doing it at the moment.
