Excluding gift in kind from proposal query

We have been using constituent queries to create proposal queries by exporting and then manually amending (eg removing duplicates) .

I'm having an issue with Linked Gifts on accepted proposals. We link all gifts to the relevant proposals where proposals exist. We have just started recording Gifts-In-Kind, on the proposals where we expect in-kind help we leave the ask and expected amounts as £0 so they don't interfere with forecasting.


Howevever my proposal query doesnt seem to allow me to exclude gifts in kind from the linked gifts so it shows up on there as a funded amount along with cash gifts and pledges.


We don't want to see this as a funded amount, as obviously isnt coming in as money and will run separate queries to track them. Is there any way around having the amount show up as funded without de-linking it from the proposal? We'd really rather link all gifts to proposals rather then make exclusions from certain gift types. Choosing gift type on the query would pull up all gifts from the constituent and result on many more duplicates and not limit it to the one associated with the proposal.

  • When you link the GIK Gift to the Proposal, try setting the Amount to $0.00.  I believe that will give you the link you want, but not generate or increase the Amount Funded on the Proposal record.
  • Thanks Jen. We do want to record the value of the GIK, we just dont want it to appear as cash. I cant see anywhere on the business rules to be able to exclude this, perhaps there is some other way?

  • I don't think the Proposal Record is sophisticated enough to separate Cash from GIK in the Amount Funded field.  If you have a Proposal that you anticipate will be partially funded by in-kind gifts, you could create a second Proposal Record for that portion of the ask.  Then use one of the other fields on the Proposal Record (likely [Instrument] or [Type of Gift]) to track what method of payment is expected.  Use that field in your reports in combination with Amount Funded.


    Beyond that, no other workarounds come to mind.
