Calendar event notifications/alerts

We use the calendar events in LO and we are trying to find a way to either receive a copy of the confirmation message the registrant receives or some kind of seperate alert to let us know when someone registers for an event. In Sphere we were able to have a duplicate copy of the thank you email sent to our account. Does anyone have any suggestions?

    Depending on your specific needs, you could create a custom google analysis event that logs against your GA account every time someone registers for an LO calendar event. This would give you a running total and you could setup a report that emails you the data on a daily or weekly basis. It's certainly not perfect, but this would allow you to keep count of registrants. If you need something more immediate you might be able to create a custom notification method using JavaScript. But that might be a bit overkill for your needs.

    Thanks, Erik. Our events team liked the copy of the confirmation email they were able to get through Sphere as they used that as part of their event back-up to cross-check everything to ensure it came through and was entered in RE correctly. We haven't been able to replicate that in LO. We ended up having to build special reports that are sent out 3 times a day to get them the information they need. It's not ideal for what they wanted but it is the best option we could come up with.

Our events team liked the copy of the confirmation email they were able to get through Sphere as they used that as part of their event back-up to cross-check everything to ensure it came through and was entered in RE correctly. We haven't been able to replicate that in LO. We ended up having to build special reports that are sent out 3 times a day to get them the information they need. It's not ideal for what they wanted but it is the best option we could come up with.

     

    Angela, are you (or your colleagues) aware that there is an event guest list report they can run? There seems to be no limit on how often that can be done.


    In Content -> Events, using the Event Calendar tab, click (once) on the event name. In the pop-up box, choose Manage. The default screen/tab is "Attendees", but ignore that and go to Reports, where there are two choices; Event Questions Report and Event Guest List Report. Clicking on the latter begins the report compilation immediately, and takes you to the Reports -> Report Results screen, where you'll see a report called "Guest List: [your event name]" running. Click Refresh this page until you have all the possible options under Actions, and then view and/or Download. Download is the better option (resulting in a .csv file) because it includes the registrants' answers to any questions listed on the reg form. ("View" does not.)


    Sorry if this is overkill, but hope it helps! Oh, and, by the way, you can give limited Luminate permissions to whichever colleagues need these reports, so that they can't really do much outside of Events.

  • Yes, we have worked with the LO team to get the reports updated to meet what they need and so we can run them several times throughout the day to send the events team regular updates. We have multiple events happening at relatively the same time so they need to keep on top of all of the registrations.


    They really liked getting a copy of the confirmation email in Sphere as that is what they printed out and included in their event binder as back-up. We've been asked multiple times why this can't be done in LO so they receive notification right away when someone registers for an event (especially when it gets closer to the actual event date or if they might sell out).
