Fiscal Year:Why doesn't it exist?

Options
Hello everyone! I need away, either in Crystal, or RE or Excel (preferably in all 3) that I can sum a donor's giving based on fisical year.  I found a few YouTube videos that show how to do fiscal quaters in a pviot table, but I don't really understand how to then convert that into a fiscal year.  Our old system had fiscal year as a standard field and I really do not understand why RE doesn't offer this field except for in a few reports and even then I am limited to "Last FY, This FY, Next FY." And that means that we have our fiscal year range set in the background in order for the report to know what date ranges to pull, so why it isn't an offered field completely blaffs me. Anyway, I understand that I can do it in a Constituent Export using the Summary field, but some of our donors have been giving for more than 30 years and I really don't feel like setting up 30+ summary fields.

Please help!

Also, how do I get soft credit to show in an export? I want to beable to export that Joe Donor recieved a $50 soft credit as well as all his other gifts. Baiscally, I want a report that gives me the same information I see when I open up the gifts tab. (MG_Pay_Cash----SC $50.00)

Any help would be greatly appreciated. If this something that is incredibly easy and I am just missing it, I apologize.

I agree that reports by years does not fulfill all the needs.

I can help with how to show SC in an Export.  Using the gift summary field the first tab of the criteria has options for how to handle soft credits.  Just choose SC to both.  It will pull $ amount, not the pay-cash detail though.

This is one of the main reasons we use the "campaign" field to indicate fiscal year. I know there are a lot of opinions about how to best use Campaign, but I really appreciate being able to see the fiscal year with an easy gift export.

Glad we aren't the only ones who've used Campaign that way!

You can manage this in Excel using a formula, though. Here's a pretty decent tutorial:

    https://www.extendoffice.com/documents/excel/2475-excel-convert-date-to-fiscal-year-or-quarter-or-month.html#a1

Play with that and spot check some results to ensure that you are indeed getting the expected fiscal year for each gift date.

Thank you! I looked but was only able to find tutorials's to get fiscal quarters! I will certainly look into using Campaign as well!!

Just to clarify, you enter just a date, and not a campaign name that includes the date? We use campaign for campaigns. So I'm not sure that would work for us. Does anyone have any thoughts as entering it as a gift attribute? The first problem I see there is all our old gifts wouldn't be coded, so I'm not really ahead from a programming standpoint.

    Thank you!

Just a side note, if you do decided to track with a gift attribute as long as you can create a query of gifts between X and Y dates, you can do a global add to add the attribute. Just follow the advised procedures for doing global adds/changes - a back up is always a good idea.
  • We have a gift attribute for "campaign year" that works well for us. We mostly use it for keeping track of future gifts, but I've used it on occasion in exports and crystal for sorting and grouping. Alternately, I have formulas in crystal that take the gift date field and convert it to FY for reports where the attributes aren't feasible. Once written, I just copy/paste between different reports.

    Marla,

Would you be willing to share those formulas?
