generating letters for online gifts processed in OLX

Our director has declared that all online gifts start receiving paper acknowledgments in addition to the auto-email acknowledgment. First of all, does anyone else out there do this?


I've been working on a way to do this in a bulk manner and it is getting WAY convoluted. I realize that once the gifts are committed, you can go back to the record, add the Letter Code, and run the letters individually. You could maybe even group them with a Gift Query based on the date, appeal, etc. But still, extra steps and room for error.


Right now, we're not exactly buried in online gifts - maybe 2-3 a day - but this will really become an issue end-of-year. I appreciate any feedback!

    Hi Jennifer.  We send a paper thank you letter for all online donations.  When we batch the gifts from OLX the letter field is automatically populated with our basic thank you letter.  We then run thank you letters on a daily basis using Mail in RE, which generates letters for all unacknowledged gifts.  If the gift was made in honor of someone, if it was designated for a specific program, the letter is manually edited to include that information.  Since we run letters every day, it doesn't take much extra time to edit the letters when needed.  Hope this is helpful.

    Thanks, Cathy! Were you able to insert the Letter Code into the automatically-generated batch, or do you use a batch template through bulk processing? 

    Also, we usually process the gifts one by one, rather than bulk, because of all the ins and outs of applying the tribute correctly, etc. Again, right now it's not too busy to run one letter at a time, but I'm trying to prepare us for end-of-year.

    Jennifer, we don't use a batch template, we load an existing OLX batch and change the gift date and post date in Defaults.  Each morning we batch process the online gifts from the previous day.
