Trying to Run Basic Query on # Donors to an Appeal - Need Help!

Hello! I'm trying to run a basic query to see the number of donors and gifts they gave to a certain appeal we ran last fall, but it's just not working. Just as a test, I saw that one of our donors gave $500 to the appeal. But when I run the query, it not only shows this gift, but it shows every single gift she's ever given us, but they all have the same appeal ID which is not right. I don't understand what I'm doing wrong, and I've been at this for an hour! Can you help?

    The following worked for me: 

    - Query Type: Consituent

    - Criteria: Unders "Gifts", Under "Appeal", select the Appeal ID

    - Output: Just add whichever fields you need

    - Sort: I just sorted by name to make it easy to see how many gifts may have been made by the same person to the specific appeal


    Did you do something similar to this? I'm not 100% i understood what you needed but hopefully this helps!

  • Thanks for such a speedy reply, Amy! I think I might know what the problem is. I don't see an 'Appeal' option under the 'Gift' tab. Is this something that perhaps a more recent version of RE has?
  • Hmm possibly since we are quite new to RE. Did you scroll all the way to the bottom of the "Gifts" group? It won't be listed alphabetically since its also a subgroup of it's own. I attached a screenshot of it for a visual.


    On the other hand, you should be able to achieve this same query using a Gift Query Type instead. Have you tried that?
  • Ok, now I feel totally stupid! I just tried using the 'Appeal ID' criteria instead of the 'Assigned Appeal ID' criteria and it worked! It wasn't under the 'Gift' category but totally separate -- but it still worked. Only took 2 hours to figure out - arrrghh!!

    Also, if you do not need it to be in query format, there is a pre-canned report under "Reports/ Campaign, Fund and Appeal Reports/ Appeal Performance Analysis" that gives you the same information.

    did I see in this thread a mention of new to RE?  If so, it's time to say Query is a grouping tool not a reporting tool. 

    You can use the Gift Detail and Summary Report and pick the appeal(s) you want to see the results on.
  • While it's true that Query is a grouping tool and not a reporting tool, you still need to be able to group the correct records or the Export or Report you base on the Query won't be correct, either.


    Assigned Appeal is looking at the Constituent Record Appeals Tab...when you send out an Appeal, you can populate this tab so you can see who you sent it to.  Just plain Appeal nested under Gift will be the Gift Record Appeal Field.  (In a Gift Query, it is reversed...Assigned Appeal is nested under Constituent and Appeal is in the main list.)


    You may also find the Summary options useful in a Constituent Query.  Word of caution, always include Gift Type criteria in a Gift Summary Field, because RE assumes and filters on Gift Type unless you specify.  (I don't remember what it assumes, I just got in the habit of always specifying so I didn't run into problems caused by that...I hate when technology tries to think for me!)
