Global Change Fund

Options
We had put a bunch of gifts into a holding fund until we determined if we were starting a new fund. These funds all posted to the old fund and now I need to move them to the new fund. Is there a way to do this globally, or will I have to go through one-by-one and adjust since the posted gift has fund as read only?

You may want try this at BB's knowledgebase: https://kb.blackbaud.com/articles/Article/75584.  Edit -- I forgot to mention you should test on one or two records to make sure it's doing what you want.

Thanks, but that only works for gifts that are not posted. Manual change it is!

  • Carolyn, how are you gonig to manually change them?  I'm just curious because we had the same issue where the gifts are "read only" and when i did a global change from one fund to the correct fund, the "read only" gifts populated to the exception report for that same reason.

There is an un-post gift plug in.  You could unpost and do a global change and re-mark them as posted. You have to be very careful to select only the gifts you need. One wrong click and all gifts are un-posted so be sure you have a back up if you use it (yes, it happened).
  • When you use the unpost plug in, that makes the gift NOT read only?  Great suggestion!

Yes, but you can mess up accounting if you don't return them to 'posted' status. Definitely not a function I'd grant wide user accessibility to.

I just did an adjustment on each gift.

  • Is there a reason your gifts are posted? If you post to FE I do not recommend unposting and re-posting. It will cause issues with Finance. At least look into it further before doing it. I tried once and was not able to do it.

But I thought (I could be wrong) that you could import gift adjustments. I might look into that before unposting.
  • What is a "read only" gift? Gifts are either read only if you do not have security rights to edit gifts or if you have posted the gift and then can't change certain fields (but some you can).

We post gifts to FE daily. The gift wasn't read only, just the fund ID. I just did an adjustment on each gift, as that makes my business office happier than any other solution I could come up with.

  • Adjustments are always the better way to go. Much better paper trail of when the change was made - what the old info was - who made the change and WHY (assuming the person adds a note which I wish was required!!)
