Accepting Donations and Purchases at Events

We will soon be allowing supporters to give donations and make purchases at our Events.  We plan on only allowing these credit card transactions to be made on organization owned devices.  I am writing a policy on who and how these transactions can take place.  Has anyone done this and has a policy they would be willing to share?

  • I'm not sure if your restriction to "company owned devices" makes any meaningful difference here. Assuming you're using an app plus a card reader of some sort (like the BBMS Mobile app plus a Blackbaud card reader), the data is encrypted end-to-end and there's no way to actually store that data on the local device. So from a security standpoint, you're fine.


    But if you're hyper concerned about the perception of security, then this rule may make sense. 


    At our annual gala, we do card processing on company owned devices, Chromebooks specifically. At our annual thon event, we do credit card transactions at the registration tent and myself and one of my colleagues use our personal phones because mobile data is much more reliable than wifi in that setting. We use the BBMS Mobile app in that case, and one phone is set up for t-shirt purchases and one is set up for registrations, and by "set up for" I just mean that we have a pre-populated note set up for each device that says either "t-shirt" or "registration." 


    I think you're looking for something more technical than this though. I don't know if anyone else has more rigid, or at least more well defined, rules that they use.
