RE's Duplicate Constituent Management Tool - Does RE have upgrade product ...
I would contact my Sales Rep but you know how difficult in can be to simply get some info without a hardcore sales press that can take up much time. I am just wanting some verification that Importamatic is the upgrade option RE has in terms of duplicates or tell me what the product is. If there is no other upgrade option we will probably have to look at some manual solutions. Any info is greatly appreciated. thanks!

I'm pretty sure the answer is no. I'm in a similar boat as you with a truly giant dupe list, much of which I inherited.
Are you just looking into this as part of a data management/cleaning initiative, or are you trying to reduce your house file for a future switch to NXT?1 -

The hard part, regardless of whose product you're using, is going through all actual dupes where data isn't perfectly identical to determine which data to keep and which to toss.

We're also in the same situation, way too many "possible duplicates" returned (around 6,000) and most appear not to be duplicates. That's a lot and I wouldn't mind going through them a little at a time, but it frustrates the heck out of me when I do go through them and shows me "possible duplicates" for two or three records with absolutely no way that they should be tagged as duplicates (perhaps something going on with null values?). I've checked the duplicate criteria in the knowledgebase and nothing mentioned in there explains why they would be tagged as duplicates.
As mentioned, there really isn't another tool available. We recently went through integrating Luminate Online and Raiser's Edge and part of that process is to send Blackbaud our data and they return duplicates. Real duplicates, along with a spec sheet that includes the criteria they used. So I created my own de-duping tool in MS Access, using the same criteria they used along with some tweaks and additional criteria and will be using that going forward to keep duplicates under control. Currently I need to export all records and import into Access but the long term plan is to link directly to the SQL tables.
I'd be glad to share the criteria if anyone would like to see it.

What I have found by picking at these records little by little is that a large majority of them were spouses that were not linked properly. So I've started to rely on the tool more for relationship management than actual duplication management.
What I don't get is why records have almost nothing in common are posed as duplicates. Eg. Robert and Robin - different addresses, cities, and genders yet because of the first three letters of their names being common the tool wants to call them duplicates. I wish Blackbaud would allow us to tighten up the search criteria as we could in the past. When I did ask support about this I was told that the tool will get more intuitive the more often it is used. I've been using it for 14 months now and it doesn't seem any smarter.

Thanks! Do you have the link to the duplicate criteria? Or the criteria, either one is helpful.
Way back when the duplicate criteria went from being user defined but really dumb (Character in Position 1 in input = character in Position 1 of extant record?, Character in Position 2 in input = character in Position 2 of extant record? , ) no scoring for similarity so John Deo with same address, city, etc. as a John Doe in the system is not rejected even with duplicate criteria applied. What? I was happy to see the way overdue but helpful scoring.
I have not found we can adjust the new criteria (black box?) but I have found it to be very reliable as it is.

I went to a BB group last year and they did mention a BB in-house (not omatic) tool that is better at filtering and finding actual dups, but there is a cost to that plug-in (as opposed to the basic version). Your sales peron may be able to give you the info on the specifics.
We haven't gotten that, so I'm In the same boat with over 6000 dups. I discovered that you can export the results to EXCEL sheet. I did this, sorted a bit and came up with a batch of several hundred that were likely actual duplicates. These are my "Do First" group. Once I get through these, I'll re-run the report and chip away at the rest a bit at a time.

Not sure of the cost. I’d talk to Zeidman and see if they would let you test it. Makes our dup process fast and easy.

I think Importomatic is an Omatic Software creation. I don't think Mergician is free. Edit: Zeidman does make a program called Importacular, we just use Importomatic from Omatic.

I ask because I am sure Mail houses do not require a person to review suspect lists, it simply would merge based on set criteria (my guess). But if I am simply doing a merge using the merge tool, if I am verifying it is same person but with different address, I am using a "criteria" in my head of , say, this constituent's last gift was in 2008 and the first gift on this one was 2009. Even if the name is pretty generic (Bill Smith) and their addresses are within a few miles, I am probably calling them duplicates that need to be merged.

I don't think it saves time in review, but you don't have to wait for the DCMT to refresh when you merge a record. Quite a wait if you have thousands of possible dups in DCMT.

Yes please - I'd love to see the criteria that you are using - and to hear how your Access tool is working for you? How can you link directly to the SQL tables when RE doesn't allow any access (we're using the online version)

I prefer to use Access to find duplicates as well. If you have AddressAccelerator, I would run that first, then you can export the fields you want to compare, set up a Query in mdb (you can use the Query Wizard to Find Duplicates), then grab a set of ConstIDs, paste into an RE Query and work thru them merging from the Constituent Record. I add a Criteria of "Date Last Changed less than Today" so that when I refresh my RE Query, it removes the records I've merged & deleted (of course) but also the matching record (last changed today).0

I'm also trying to discover how valuable that program is and if it is worth the money, vs using an external product (we're looking at a Pitney Bowes product for here in Canada). We've found that many of BB's products are not all they are cracked up to be (Luminate/RE integration comes to mind!) and so are a wee bit skeptical about AddressAccelerator. What do you think?
0 -
AddressAccelerator uses data files that come from the United States Postal Service (or the equivalent in Canada or elsewhere?). It formats your Address Records (you have some choices here) and validates them against the data files (which are updated every 2 months, I believe). You can then Query on the Address Attributes, if you choose to add them when running AddAcc, to find Addresses that are flagged as not being valid. This could be anything from a street name that doesn't exist to a missing secondary (i.e. Apt/Unit/Ste number). Oftentimes, mail sent to Addresses flagged as invalid will still be delivered, but depending on your situation, you may want to investigate these. AddAcc does not look at the name, just the address, so it won't know or flag if Robert Hernandez still lives at 123 Main St or if he moved 4 months ago. That would be AddressFinder (provided that Robert files a Change of Address form with the Post Office when he moves).
In this situation, running AddressAccelerator helps because if all of the Addresses are formatted in the same way, Access can match on the entire field to find dupes. Once you clear those, then you can match on partial fields. (I believe that AddAcc doesn't consistently change things like Apt to Unit, so you could have a dupe that isn't found with an exact match because one has Apt B and the other has Unit B.)
Products like AddressAccelerator and AddressFinder, while available from Blackbaud, are not quite the same as products like the LO/RE integration... In fact, you can screen your addresses without using either of these products...but you'll need to set up your own process for Importing the updates to RE. You will see folks post about not liking these products because of inaccurate updates and such (mostly with AddressFinder), but you would see those same results even if you use a non-BB product because everyone uses the same source data (from USPS).0 -
Thank you so much for your response. SO
