OLX event registrations and how they appear in RE Event record

I haven't found this anywhere in the forum, but I apologize if the topic was addressed.

We have just started using OLX for event registrations, and we use RE event record.  I find it frustrating and confusing (not for me - for our event and major gift staff) to have the Participation field populate with the event registration unit.  Is this something that will change?  Why create redundant data?  If someone has more than one registration unit (i.e., table of 8 plus two extra tickets) the participation field is inaccurate.

OLX ends up being messier on the Advancement Services end of things.  Hoping it will change if we ever can use NXT, but feeling concerned!

  • I have this same problem and it creates problems when i try to run reports. If someone registers online and pays the reservation plus buys a raffle ticket the event report will only count the one listed in the participation field.

    Following for solutions...

Has anyone explored a more streamlined way or are we stuck with this software limitation?

Right there with you!  The only workaround I have found is to export out registration fee units, and that gets bulky.

I'm frustrated right now with OLX for event registrations. We are using it for the first time for a very seated luncheon (2,100 attendees). I'm having difficulties with allowing organizations to purchase sponsorships online and how that information is translated on to the event record. I want all of our sponsors to be entered in the event as Sponsors. However OLX enters them as Registrants. I'm having to manually unlink the gift, delete the Registrant record, and then re-enter as a Sponsor.

Also we've encountered a bug that will not allow online transactions for sponsorship levels without the person registering entering the name of all guests. Sponsors get either one or two tables of ten, depending on the level, and most often don't know who their guests will be until right before the event. They should be able to check the "Same as Billing" checkbox for each registrant to have the guests entered as "Guest of", however it isn't working and causes an error message. I have created a case with support for that problem.

I feel that, right now, OLX isn't functioning the way we need it to and I'm having to do A LOT of clean up in the back office. This was suppose to make things easier for our donors/sponsors and for the back office. Right now, this isn't easier for anyone.

I'm wondering if we can get an update on this?  I thought I read that it was supposed to be addressed.  It forces us to allow mutliple constituent registrations, which is completely unnecessary.  It decentralizes our participant data and makes it more confusing to event staff when I run them reports.  It's a really poor decision to populate the particpation field when we've been making proper use of the Registration fields for years.

    Anything??  Anyone??

  • OLX is definately not the solution I was hoping for when we signed up. I have seen anything to indicate that the developers are working on this.  I know a lot of of us end uesrs who would love some input and see some changes made! Please!!!

I am having the same problem with my sponsors for our golf tournament registering online, they are automatically taged as registrants instead of sponsors.

It is frustrating and takes up time to unlink the gift, remove any golfer names, and delete the registrant, then have to add them as a sponsor.

Would be nice to have the option to convert as registrant to a sponsor.

    Any progress on this issue????

  • I frequently feel the same way about OLX. It
is A LOT of back end clean up, sponsors don’t load in the event
module as sponsors and have to be moved. Contact names enter as
guest. I find it very difficult and time consuming.
