gift acknowledgement

Generally one adds the acknowledgement name for a donor on the Addressee tab on the donor record. However, I find this does not work when a donor wants a particular donation to remain anymous or the be acknowledged in a different name. Such as; a donor is acknowledged as John and Mary Smith, The Smith Family, or Anonymous. To accomodate these requests I would like to track donor acknowledgements by gift. Any thoughts or tricks to make this happen?

    Some orgs do track by gift using a gift attribute.  I have not used this method but am sure you'll get some responses from those who do. 


    When you say they want a particular donation listed differently is this for additional gifts that are recognized on the same list?

    I've chosen to use the addressee so that there is one listing vs accidentally getting different ones on multiple gifts of the same type and also less chance for typos.  I have an addressee type for each of the funds that we pull recognition lists for so I can accomodate different listings (annual fund/capital/endowment/etc.).  In my formats I have "Anonymous" so I can just select that format for the recognition listing.  For the few I have each year with multiple listings to the same fund list, I enter something like " ***name 1/name 2"  The *** signals me to make adjustments when I'm actually creating the list. Just one option.


    Whatever you do, I would certainly try to do them all that way.  Potential for messiness if it's being recorded both ways.

    Usually when send an acknowledge letter, you would have to have their names and envelopes.


    The way I have always handled other Acknoledgments, like publications (think annual report), or donor walls and the like is the have a Addressee that is their Name for Publication, and this includes Anonymous.  So - If they want to be Mary and John Smith which is the most common, that Addressee field is populated with that, if they prefer The Smith Family, that can be chosen also, and I also include Anonymous in the dropdown of choices.  It is also an insurance policy that they are not noted by name, even if the gift itself. somehow is not marked Anonymous.

I used RE at another orginization where I tracked donor acknowledgement by gift, as well as on their record as the Annual Report Acknowledgement name. This became necessary as the AR was broken down into many lists for which donors had different acknowledgments. Unfortunately, I don't recall how it was set up.

    I'll look at both your suggestions and figure out how best to track this information.
