Need auto-rebuilding group consisting of events' Team Captains for Email Campaign

I have multiple events in an area, but often teams will coordinate across the state for various team-related sub-events.

TeamRaisers seem to automatically generate groups, with titles in the form of "<Event Title>/<Participation Type>". However, I can't find any such group consisting of Team Captains (either by participation type or otherwise), nor does it seem I can use the Query module for this purpose.

I know I can use Coaching Emails to target Team Captains, but that limits me to communications with Team Captains associated with a single TeamRaiser, forcing me to duplicate my communication across several TeamRaisers (and, potentially, targeting the same Team Captain more than once). Alternatively, I can simply run a report on my set of TeamRaisers to pull the Team Captains' contact info, then do a Constituent Import to add them to a Team Captains group -- but then I (or someone) has to do that whenever new captains sign up, instead of the system handling it automatically.

Is there an automatic solution I'm just unaware of and have overlooked?

  • You can create a new Task from 'Data Management' > 'Tasks' as following:

    Which TeamRaisers would you like to include?
    Check TeamRaisers Indicated Below [Select all targeting events]

    Which Participation Types would you like to include?

    Check Participation Types Indicated Below [Select targeting types]

    Select contacts based on team membership?

    Check "Include team captains" only


    After task creation and runing, a new periodic query-generated group will be created with the same name as your task. You can create email campaign/message and configure the target audience to this new group. Don't forget to check "Group Rebuild at Delivery" option and "Have not yet received a message from this campaign" filter if needed.
