Gift Processing Form

Hi does anyone have a gift processing form that you use to accompany each gift for the data entry person to use as guide where to allocate gift, for appropriate appeal & campaign?? I am looking for an example to compare to what my organization uses.

    By what manner does your data entry person recieve the gift?  List? Checks?

    Sort of giggled at your post.  We don't have a form but CEO (handles all gifts) writes on the check 3-4 digit/letter code for me as data entry person and for finance.  Everyone in a while I've had to go back to him and correct fund for which they have a pledge.  Doesn't happen too much anymore.
  • The check is received by me, I actually record check info and find, appeal and campaign code on excel spreadsheet which is merged into a gift processing form for each check, this is to ensure that the data entry person enters the gift correctly. So your CEO has to do that for each donation your org. Receives? He writes directly on the check??

    It's not that he has to as much as he chooses to.  He records each check and, yes, writes fund directly on check.  (Our campaigns are like umbrella's over funds so campaign defaults from fund entry.)


    Are you dealing with responses to mailing appeals? Pledge payments?  Something I've found helpful so that gifts get credited to appeals are business rules.  I have a pop-up after I enter donor name to tell me they received "XYZ Mailing".  I utilize the pop-up stating the person has a pledge with a balance - do I want to apply it.  This year I added business rule to tell me if spouse has a pledge in case check is from spouse 2 when spouse 1 has pledge on the record.

  • Hi was having an issue with posting. JoAnn we have so many funds it way too many for anyone to know them. We also use annotations for board members as well as for special mailing instructions. Interesting that you use for pledge reminder, what business rule do you use for spouses to remind you of pledge? I'm not sure if we use business rule, probably do...

    Business rules are one ot the features of RE that I really like.  Have to have appropriate rights to set them up.  If both spouses have records in RE, I have business rule to let me know if name I'm entering is soft-credited for a pledge (generally on spouse's record but could be from their business too).  To set up you just need a query created for the rule.  Mine has criteria of gift type = pledge / SC amount > $0 / pledge balance > $0.


    Some of the other rules I have let me know if constituent received a specific mailing appeal and one that tells me if their spouse recieved the mailing appeal.
  • Yeah I don't have those right but I know who has the rights, we always soft credit the spouse. We normally link whoever to be soft credited in the relationship tab.

    Hi JoAnn- this business rule would be very useful to ensure every gift that qualifies toward payment of a pledge is applied.  I tried to set up a query using the criteria you specified and was not able to get the pop up to work.  My criteria is set up as follows...I'm sure I need to change something in the criteria.  I appreciate your guidance!

    Does the query pull records in results?  I just read through my criteria and your's line by line.  They sure appear to be identical.  It's a constituent query.  Under Tools > query tools (I bet this is the thing) > Gift Processing > Credit Soft Credit to - choose Recipients.  Hopefully that's it.
