Uploading recurring data possibly from the same constituents and avoiding duplication

Hi, I obtain data on a monthly and quarterly basis.  This data can be new or already in the DB.  I receive it in excel and can set it up for import.  At the moment i have 900 records to check.  I am finding it painfully slow to check what is already on and what is new.  I have done it a few ways.

1. Import - and check the exceptons (using 'validate only') these are then stripped out of the excel sheet resulting in a cleaner import but more exceptions can turn up

2. Constituent Batch - very time consuming and duplicates have appeared after committing the batch

3. Copying and pasting individual info to RE - very time consuming

4. Vlookup - the database is too large and some constituents could fall under a different ConsCode so query would not gather all info


Has anyone any better way of doing this a little quicker using something probably very obvious

  • You may want to check out the 3rd party tools by Omatic and Zeidman - they may offer more rigorous duplicate checking so you can import records more confidently.

    it is full constituent data for new or recurring callers- some previous callers calling for different advice.  If they are new then all data is input ie contact data and attribute and actions, if they are current on RE then additional actions are added to those records

    I see. Yes, that does certainly make it more difficult. No obvious solutions are coming to mind - maybe it is worthwhile to look at the O-Matic solutions (though I don't have any personal experience with them, so I don't know if there is a good solution there or not).
