Coding Gifts from 3rd Party Fundraising Activities

Hello, everyone!  I am hoping you can help.


The organization I work for likes to track gifts from 3rd party fundraisers: i.e. someone holds a virtual birthday party and gifts are generated to our organization, that sort of thing.


How do you enter/code and track these types of gifts in RENXT. We are in the process of converting to RENXT, and I am a little confused about the best way to enter these kinds of gifts.  I will need to pull reports on the various results of these 3rd party fundraisers.

    Hi Liz,


    We don't use NXT to code our gifts as every gift is processed through the database view. We use an Appeal of Third Party Events and then code each individual event using a package. This way they are all grouped together for reporting purposes but I can also see how much each individual third party event donated to us.

  • I use a Gift Code for these, generally.  Sometimes also a Gift Note with a specific Type or Title, depending on the situation and how much additional information I want/need to capture.

    Hi Liz,


    If the event is one where we receive only one compiled gift from the org or coordinator of the community fundraiser, we code them with an appeal of Community Fundraiser, and note who the fundraiser was in the gift reference. If the event is one where we'll receive many donations from different people, I create an appeal just for that fundraiser "J&B Wedding". That way we can thank the individual donors as well as easily see the total raised by that fundraiser.

    Do you create a constituent record for the event, or does it always go on the company or individual record?   ie.  Constituent = "J&B Wedding", with the gift(s) posted to the event record and a link to the individual(s) or company associated with the event.   I'm new to RE and our database has both scenios.  I'm looking for the pro's and con's.


    Examples of both:


    "Rita's Golf Tournament" linked to Rita Nicholson, and husband, so 3 records linked.  Gifts posted to the tournament and credited to Rita and her husband.


    or


    Rita Nicholson (Constituent Record) - gifts posted to Rita's record, appeal code "Independent Fundraising Event", package "Rita's Golf Tournament" and credit to her husband.


    Our CDO want to assign solicitors to the 3rd party event and not necessarily to the individual.  What would be the best way to do this?

    Hi Rita,


    We have both scenario's in our database due to different people preferring different methods.


    For me personally, I like using the appeal. I find an event as a constituent record messy and when that information doesn't get passed on it results in multiple records over multiple years. You can assign solicitors to an appeal as well, so that would solve your problem with the CDO's request. 

    Completely up to you at the end of the day but I would suggest that if you are going to create a constituent record for it that you right a policy / procedure manual to ensure that information is passed on to future database users!!
