Gift Officer activity summary reports

We have some reports in place at UNCW to summarize gift officer action and proposal activity for the current FY by quarter, broken down into various categories. Due to the limitations of the canned reports for this kind of data, and the complexity of the reports needed by our leadership team exceeding what we are able to do wqith Crystal, our current solution is semi-manual, involving exporting the results of several queries and pasting them into an Excel workbook template that takes care of the summarizing and presentation of the data. Now our leadership team wants the reports automated so that they can pull them themselves on demand. My inclination is that this just isn't going to be possible without investing in a better reporting tool with a datamart, but I wanted to check with the community first to see what kinds of solutions you all use at your organizations.

I'd be very appreciative if some of you could share with me (please attach copies to this topic, if possible) examples of the gift officer activity summary reports that you are able to pull out of RE, directly or indirectly, and let me know what tools or steps you use for the reports.


For reference, the summaries needed by our leadership team include the following for each individual gift officer: number of face-to-face and other actions for each action status in each quarter; average face-to-face and other actions per month for the FY so far; total number of prospects in their portfolio; for major gifts officers, the number and dollar value of proposals that have been accepted ,or declined, or are still pending, for each quarter; for annual leadership gifts officers, the number and dollar value of asks (as recorded as an attribute on their actions) v. the number and dollar value of gifts that they have gift solicitor credit for.


I don't expect that anyone will have the same set of reports, but I am interested to see what reports you all use to evaluate and check in on progress with your gift officers with regards to actions and proposals. I would like to share some of them with my suprvisor to give him a better idea of what others are doing, as I feel like what we've worked hard to put into place is probably a lot more complex. I don't think he realizes just how much work we had to do to get to where we are with this right now, and I need to find out what additional tools others might have used to automate anything remnotely resembling this.

  • Since I have not received any responses to my post, I thought it might be helpful for you to be able to see the current reports that we are pulling on a monthly basis for each of our GOs, depending on whether they are Annual Leadership or Major Gifts...

    I'm definitely interested in seeing what kinds of activity reports you all are pulling for your own GOs, for evaluation purposes. I'm looking to get a better idea of what others are doing to evaluate whether what we are currently doing is beyond the norm.

  • We do something similar to you, with summaries of action numbers, gift amounts etc. We use a Crystal custom report as we wanted the fundraisers to have the ability to run it themselves from within RE. Each section is in a separate subreport so that I could use the database expert and record selection formulas to pick out the type and quantity of data I wanted to summarise in each section (I'm not a Crystal expert so there may very well be an easier way of doing that). I've attached screenshots of the main sections of the report, with names and figures redacted.


    The only downside is that the export file is a bit hefty as it has to include gifts, actions, proposals, financial ratings and other things, so towards the end of the financial year when there's a lot of data to export it can take 5-10 minutes to run.
