Choosing different email types for email blasts

Our nonprofit deals with companies/other organizations quite a bit. Sometimes we want to send a solicitation email to the donations administrators, sometimes we want to send a survey email to the admissions directors.



Is there any way we can choose whether to send the email blast to the "Solicit" email, and then later send to the "Admissions" email addresses by selecting email type?

    Hi Connie. Email mapping is pretty flexible in Online Express. You can specify the email type hierarchy in your integration options from the Account menu > Integration options > Email addresses.



    The send hierarchy is as follows: Email addresses marked as primary (RE 7.94), the first mapped email type, second mapped email type, then third mapped email type. For example:



    Matt's record has an email address with a type of Secondary


    Connie's record has an email address with a type of Main and another as Secondary



    If the mapping was set to Main first, then Secondary, Matt would receive the message to the Secondary email address, and Connie would receive the message to the Main email type.



    There is also the option to send to ALL mapped email types.



    You can always make changes to adjust how the hierarchy works from the integration options window.

    To this point, we have not used the Primary checkbox in 7.95 and we have been using 2 Phone Types with the ALL checkbox in Email Mapping.  I've been asked to put together a list of our board members for a special message to go out late this week.  I got the distribution list the CEO's office uses, because for this one, we don't want to send to multiple addresses for one person.  However, of the addresses we've been asked to use, some are eHome and some are eWork.  I'm thinking that if I mark the Primary checkbox for the address we're supposed to use, and then UNcheck the ALL checkbox in OLX Email Mapping, that will do what I need...send to the Primary Phone Type for each, regardless of what Phone Type is set in Mapping.  (And then after the message goes, I'd change the Mapping settings back to how they are now.)


    I suppose I could just test it by using staff emails and asking what happens.  Which I'll do late tomorrow if no one has answers...if anyone has done this before, please advise!

    My understanding is that OLX does not recognize the "Primary" button in Constituent phone records. See KB article https://kb.blackbaud.com/articles/Article/100429. You'll have to rely entirely on your OLX email mapping, or set the Inactive or DNS Box temporarily on email addresses you want excluded.

    I was thinking - we have a similar situation with our College's recruitments email list - the original topic of this thread, and a project I haven't tackled yet because of limited time with no imminent deadline, lol. But my plan was to create a new email type called Recruitment, and enter the relevant email addresses into that, even if the email already existed in the record under a different email type like Home or Work. That way, on the occasions when we need to mail to this group, we just change OLX email mapping to the Recruitment email type, rather than trying to mix-and-match. Maybe this is something you could do, if you think your org will be using this email list repeatedly in the future?

    Great idea...I thought of that but didn't think it would work because I've gotten the error of a duplicate Phone Number...turns out (I just tested) the error is only if it's the same Phone Number and Phone Type.  It's a short list, so I think I'll do that, even if we only use it once.

    We've just discovered this problem and it appears to be the case. We called Blackbaud and they're looking into whether there's a workaround but if not we are going to have to uncheck all the emails we have marked as primary. This will cause problems with running lists in NXT which is why we started using the primary email checkbox, but we use OLX to send most of our emails so OLX is more important. Very frustrating!
