Business rules to mark check box "Requests no email in Raiser's Edge BIO1 tab

I am wondering when you mark "Requests no email box" check box in Raiser's Edge BIO1 tab.


We have some donors to request opt out emails when they make donation through Luminate Online platform. Do you add solicit code or check "Requests no email" box?

  • Thank you for your quick response, Marie. The problem is that we cannot send eReceipt to donor (after marking this box down) if they make offline donation , some donors request eReceipt when they make offline donation. We do issue eReceipt through Raise's Edge by donor request.
  • I set up a different Phone Type, several actually.  We have:


    eHome

    eWork

    XeHome (removed)

    XeHome (hard bounced)

    XeHome (unsubscribed)

    XeWork (removed)

    XeWork (hard bounced)

    XeWork (unsubscribed)


    In addition, we use the Comment Field for notes, or to reference additional notes on the Constituent Notes Tab.


    We use Online Express rather than Luminate Online, but only the first 2 listed above are available for OLX to use.


    If Luminate works the same way, you could create another Phone Type for emails that can get one-off messages but shouldn't get mass messages.
  • We use the solicit code "Do not email".  We support the development office and the alumni office so I need to keep those seperate yet make sure that the directors can see and use it for individual contact to the constituents.  The solicit codes we use is "Do not email" for no mass email, "Do not email - Alumni" for those who unsubscribed from alumni mass emails and "Do not email - Development" for those who have unsubscribed from solicitation emails.  And if it is a wrong email - we remove it completely from bio1 and make a note on the notes tab.  


    When I export lists, I can export these specific codes as well to remove from lists if necessary.  
  • If someone requests, via a bulk email (like contstant contact) reply to "unsubscribe", we check off the "requests no email box". This means, in our world, no bulk emails, but a gift officer can stlll send them a personal email.


    If the donor has contacted us and said, please don't email me, ever, we check the box, add the solicit code Do Not Email and mark the email address Do not contact.


    If the donor has said, "Don't use THIS email", we just mark it Do Not Contact.

    This is really helpful! Thanks for the info. We don't track expired emails now, but should. We track expired street addresses, so why not emails!

  • Not sure if you got what you needed from the other responses.


    We use the request no email checkbox when the person has requested to be removed from ALL email communications.


    If they have only requested to be removed from a specific type of communication then use a solicit code, we use the naming convention, Unsubscribe - General news, Unsubscribe - Events.....


    In addition we also use the different email types, when I remove someone from ALL email communications I tick the requst no email checkbox then change thier email type to "Former" and put a note in the comments email removed by request.

    Now my problem is that if I marked "Requests no email", I cannot send tax receipt in Raiser's Edge when people make donation offline, and request email receipt.


    I am wondering how do you saolve this problem.

  • I decided to put it in Solicit Code so that it sits with all the other restricts on mail.  That way they all come up in the drop down when building queries

    Because of this very issue, we use Solicit Codes.  It gets very confusing when you have Invalid Address, Do Not Email, Inactive checkboxes working against you when you're trying to generate receipts.  Solicit Codes aren't affected by these options, that I have seen so far....
