Entering actions for later queries

I'm in the process of getting my organization recording actions more and I was wondering how you query on actions at your organization. For example we just sent out an invitation to 100 people for an event. How would you set up an action so that in the future we could go back and make a query to pull all of those people together. I added the action through loading defaults, so they would all have the same notpad description. I'm wondering if I should keep an exel spreadsheet with the action description for each FY to refer back. I know you can query on action date, but what if there are different actions on one date, or if you don't remember the date in a year.

  • If you have entered those 100 people into your event record as Invited, you can then always create a query based on this data in the event record. No need for an action at all ...
  • As Gina said, using Event & Participant Records makes it easy...provided you have the Events Module.


    If you don't have the Events Module, I would use Actions, but create an Action Type for Events.  Then I would (and have done so in my db) create a dummy Constituent Record (ours is ConstID 456123) and put the same Action there, including any additional relevant Notes.  This way in the future, you can go to that dummy record and look thru the Actions to find the Event you want...then write a Query to find those records with the same Action on them.  In fact, I'd probably use an Action Attribute to create an Event ID, assign each Event an ID number, and put it on each "Event" Action, including the dummy record.

     We have the events module but when I started with the organization 3 months ago my supervisor said they were not going to keep the module when they renew in September because they had never used it. So I'm trying to figure out a way without the event module, but maybe if I can show her how we can start using it they might decide to keep the events module around! 
  • If you are considering a move to NXT anytime soon, it includes (last I knew) 3 modules.  Unless you need 3 others, you would be getting/keeping Events anyways.
  • I would highly recommend keeping the event module, sounds like perhaps they didn't quite understand how it could be utilized?  To me the beauty of the event module is that it keeps everything related to events totally organized -- so you don't have to clutter your system with appeals, actions, notes in order to track your events - it's all bundled right there in the events module.

  • We use appeals for all solicitations, event invitations, emails, etc.
  • To answer your question more directly, this all depends on if you are looking for the actual actions or if you are looking for constituents with a particular action on their record.


    If you are querying for the action, you'll need to create an action query, and you should include all information that these actions share. Any time you query for anything, you need to think about what makes the object of your pursuit unique. Usually it's a set of things that make the items unique. In this case, perhaps you should look for the date, action type, and notepad type. Or maybe date, action type, and solicitor. Or maybe you need to include "date added" and "added by." There are a lot of fields, so just figure out what combination you need.


    If you are trying to find people who have a particular action on their record, then you need to set up a constituent query. Within the constituent query, you need to go all the way to the bottom of the criteria list and look for "summary infomration" and then look for "summary for actions" and then "total number of actions." This is basically a small action query that lives within a constituent query. In the "total number of actions" dialogue, your Criteria tab should probably have the operator of "greater than" and a value of "0." Then in your filter tab, you'll see all of the usual criteria related to action. So just like in the action query verison, you need to grab the set of parameters that make these actions unique. 


    Also, as to the debate about the Events module, I have it, but I could do without it. We use it for some things, but frankly it's just so slow and cumbersome that I wouldn't mind ditching it and creating workarounds for its features. But that's just me.

    Our org once had the Events module and then dropped it, because it was seen as un-useful. We recently re-subscribed to it. Largely it depends on the types of events you have, how many events you hold, and how large they are. If all our events were like our 5K run or our Alumni reunion -- small, with 200 people or less, and no seating or overnight stays that WE have to track -- we probably would not have been interested in the Events module. However, for our larger dinner-auction, with more people and with individual seating and meal preferences, the Events module makes life so much easier!


    The other thing that convinced us to take on the Events module was the fact that it integrates so well with OLX Events forms and saves us having to manually re-enter registrant information from online transactions. So if your org is considering OLX it might be worthwhile to keep the Events module, too.

  • I think this is also a good example of different ways that we use our systems -- we can be interested in functionality to help us perform certain tasks and evaluate usefulness based primarily on this, but there can also be an aspect of centralizing and retaining of the data so you can find it in the future, report out on it, analyze, predict future behaviour based on it, etc.  


    We happen to do a fair amount of analysis on our donors and their event attendance, and also pull those criteria into other queries for other events, mailings, etc.  Having the event module to concisely store and be able to retrieve and query on this data is very useful for us.  
  • You may also want to look into creating action attributes and when you create your query you can filter on that specific action attribute.
