Hi Community!


I can't find anything. Chat couldn't help. I can't be the only one in this position, can I? Here is a post I found from 2013. The reply to the post didn't really go anything helpful. Thanks so much. Sandra

We are in the process of cleaning up our historical data, and need to combine several funds, so that all gifts are grouped under one fund name, including previous gifts. Suggestions on the best way to do this?

    Are the funds under the same campaign? Have they been posted to the general ledger?

    Depending on what the answer is to Karen's questions - Perhaps globally changing the historical records would work?  You'd create a query to group the gifts together how you want them, then use global change to replace the old fund(s) with the new one.

    I'm a noob, so global change usually makes me nervous (haha!).
    Will think about the query and setting up for global change.

    Would it work to put all the past funds into the same fund category? That way you can query and report on them as if they are one group. You can then create a future fund that includes all the funds into one.

    Yes, query and global change is the way to go about this. 


    Getting this to work shouldn't be too daunting, especially if there are no exceptions to the rule you're implementing. So if every gift that is currently in Fund X should be turned into Fund Y, then just set up a gift query and do Fund ID = Fund X. That will give you every gift that has this fund. 


    In case you have gifts being split across multiple funds, when you do the global gift change, you should pick Fund ID > Replace > Fund X for Fund Y. That way if a gift has multiple funds, only the instances of Fund X will be overwritten. 


    The only other ways to do this would be to:


    1.) export all of the gifts, change the fund in Excel, and import them, but this is more complex than you need

    2.) do it all by hand. Yikes.

    I just did a major clean up project of Funds, Campaigns and Appeals - and used a gift import to make the changes.  For any change of this magnitude - I prefer Import as it gives me more control.  As you said - Global Change makes me nervous - 

    Plus - you would most likely have to execute multiple Global Changes to get your end result - where as with the Gift Import it's all in one.  

    I created a Master Doc that has the original gifts on one tab - the adjusted Funds, Campaigns, Appeals on a second tab - and then the "problem" gifts on a third tab.  (Split Gifts can not be imported - I had to change those manually)

    Hi Ryan,



    As it turns out, this is what I ended up doing. Did a test
    with one record using "Replace". That worked okay. Also exported a
    csv file of all gifts with both funds in case something tragic
    happened (you never know!).

    That's an interesting thought, I like it. Good to have options. I ended up doing what Ryan (and I think others?) suggested. Setting up a query, global change using "replace". It seems to have worked okay. Did a test first.
