This month, we are focusing on Pledges and Recurring Gifts in Stuff You Need to Know for the Raiser’s Edge. As you can see from our links page, we have our favorites, but now we want to hear from you!

 

What are your favorite resources or tips for Pledges and Recurring Gifts? The resource or suggestion with the most likes will win a gift card at the end of the month! We'll be accepting entries all month, but the sooner your resource is posted, the more time it will have to generate likes.

    My best tip for pledges/recurring gifts is to use auto generate transactions in batch.  Very useful to me for monthly EFT pledge payments and monthly recurring gifts.  Switched to using this after using a recurring batch.  Auto generate is easier and less work!

    Great tip JoAnn!  We also switched from a recurring batch to auto generate.  Saves us all that time we used to spend managing the recurring batch by having to manually add and remove recurring gifts every month.

    Okay.. I will now need a resource on you resource! First I've ever heard of this! Help please! 

  • Do you have the EFT module?


    "If the EFT module is present, you can use the Automatically generate transactions/payments feature in a new Gift Batch to have the system populate your batch with any transactions that are due for processing.


    If the EFT module is not present, you can build a batch of Recurring Gift payments, mark the batch as Recurring, and use that batch (making only minor edits when necessary, such as the Gift Date) to process Recurring Gift payments at the desired frequencies."

    Yes, we do.  Sorry didn't think about it being part of that module so not everyone has function as I use it for batches that are not EFTs.  But it is a fav.


    For basic features, I do like the ability on batch set up to create a default payment schedule.  Don't use very often but quite handy when entering staff pledges for payroll deductions and I can use it as my default for them.  It's somewhat hidden and overlooked.
  • Where to begin?


    I like the flexibility of recurring gifts, to advance or set back the next payment due ... that way, if they miss a monthly payment, I can advance the payment schedule so they are always current. This prevents duplicate payments from pulling into the auto-generated eft batch.


    Also learned that if you are integrated with Financial Edge, and you need to delete a gift in a former fiscal year, it is always best to NOT delete the gift, but simply adjust it to zero. Deleting a gift erases it in RE, but in FE it creates a reversal date using the original gift date, as opposed to the current date (today). BlackBaud's Knowledgebase lists both methods as options, but it doesn't explain the pros and cons of adjusting to zero versus deleting gift records.

    Yes!  I always click the "Duplicate Search" button in a batch before I create the transmission file to charge credit cards.

    Just a note - you can prevent multiple EFT transactions per pledge/recurring gift in your set-up.  In Tools > User Options > Batch > Default Batch information > EFT options check box to allow, uncheck to not allow.  This is for auto-generated EFT batches.  Don't believe it would prevent in regular gift batch if payment is entered twice. 
  • Our organization has been encouraging monthly recurring gifts by Direct Debit for a number of years - we now have nearly a 1000 gifts per month like this and about 150/month by credit card. Many of these donations are "smaller" donations of $30 to $100/month....but they all add up!! Our preference is the Direct Debit donations because they run very consistently without issues that credit cards have like expiration dates and compromised credit cards.


    I use the EFT Module and Automatically Generate Payments each month - VERY helpful!!. We run separate separate batches for our DD and CC donations, because it makes it easier to reconcile the payments when I record the deposits in Quickbooks. 


    We also use email receipts and highly encourage them for all of our donors on EFT - it saves me hours and hours each month printing and preparing receipts for mailing in addition to saving lots of paper and postage!! 


    I use the Cash Flow reports for our recurring gifts to help project income for each year.


    Since I am the only one in the finance office - tools like this make it possible for me to process all of our donations each month!!

  • Your post brought up a question I’ve been wondering about. I had
    read at one point that you are rolling out a third credential exam
    for bCRE-Master. Do you have any information about that that you
    could share? I looked in Training Central the other day and
    couldn’t find anything on that.

Do you have any information about that that you could share? I looked in Training Central the other day and couldn’t find anything on that.

    Thank you for your question. We will be rolling out another level of Certification in the future. We have not defined a release date for it yet, but we'll be sure to update everyone once we have more information.
