Visitors information - Events or Attribute?
Options
I need to import information about our sanctuaries visitors to the Raiser’s Edge. Normally, it is 1-day visit which can be held at any day of the year, with groups of 2-10 people. Some people come more than once, to more than one sanctuary.
As we have Events module, I have been thinking for some time if it's worth it to create events for all these day visits... It is a lot of job to maintain, but in the future we will be able to set up online booking via website if we go this way, which is good. And it is good to have all the visits information under the Events tab (with all the other events info).
Another option is to create an event for each month (or even year) for each sanctuary - but we will have to repurpose one of the date fields in the participants form to store the information about the visit's date... I don't actually like the idea.
The last option I can think about (and the simplest one) is to create a constituent's attribute which allows multiple entries and consists of our sanctuaries list, and simply add an entry for every visit with the corresponding date. It will be quite easy to query, easy to populate - but I don't feel good to mix it with other attributes we have. And we will have to look to two different places to find out if the person visited our sanctuaries (Attributes tab for day visits and Events tab for major events).
It will be much appreciated if you share your experience with any issue similar to this.

We have a somewhat similar situation with our summer kid camps. There are a lot of different camps througout the year with different themes, but isntead of setting up a separate event for each, we just have an event in RE for camps. The web form we use (in Sphere - soon to switch to Luminate) adds an attribute that identifies the camp type when we link and import the information via the connector, but the event just stays the same. So we know that a person bought a camp registration based on the event signup date, and we know the type of camp based on the attribute.
This system isn't perfect, but it gets us the information we care about without too much fuss.1 -
Since you have the events module, I would use it. Especially if you are moving toward online registration. The great thing about using the events module, and setting up an event for each sanctuary day, it's really easy to see who has or has not attend x number of visit days. For those who have attended more than one, you could add them to prospect donor list for the development office. Multiple visits = having more than just a passing interest in what ya'll do.4

I like Actions. We have a "Site Visit" action type for our branch visits and that serves us well for reporting. Or course we do a lot of other engagement with prospects & donors in Actions, so these visits show up on our existing prospect pipeline reports with the other Actions. They could/would as events as well, however, my point is they fit nicely in with other meetings and calls as part of our moves management strategy. If you use a specific action type, such as Sanctuary Visit, you can segment easily when reporting, etc. As far as getting them into RE after a visit, you can set up the Action once and then do a Global Add to apply it to the participant records. Always options in RE - good luck deciding how best to handle!

Instead of Attributes have you considered Actions? When either there has been small events (under 45ish) and they are cultivation not requiring ticket purchases, they were put in Actions. Tht way it can be the same Action Type and the Action Date can be the date of the visit. If they did more than one visit you can enter more than one, there is a location field where the sactuary can be entered.0

You should be able to move or convert existing data from Events to Actions, if you choose that route. If you decide to keep them as Events, you could also do what I do in many cases...add an Attribute, and then when everything is entered, convert that (using Global Add) to an Event and remove the Attribute (using Global Change).
Adding an Attribute is really easy via a Constituent Default Set. You could even use the Attribute convert method for Actions...it eliminates the step of clicking on New Registrant or New Action since (I assume) the actual Event/Action data would be the same for every record. Actions also have Default Sets...so do Event Registrations, but not all fields are available, so it's more limited (Invite Date and Registration Date are not available in a Default Set).
Personally, I like the Events option, because if you end up using Online Express (which comes as part of RE:NXT) for Event Registrations, this is where that data logically ends up. I would probably opt for one Event Record per Month of Sanctuary Visits, and use Registration Date (or Response Date, if you use an Event Registrant Default Set for data entry) to store the actual date of the visit. And the Event Record itself provides a place for storing any information (including Actions, Notes, and Media) that you might want to retain for a specific Sanctuary Visit during that month but not want to replicate all of that on every applicable Constituent Record.1
