How to prevent emails from sending twice to same email address?

Options

How can I prevent an email from sending to the same email twice? We have circumstances where more than one constituent has the same email address. Aside from manually managing these to opt one of the records out, is there a way to prevent the system from sending to the same email twice? I understand that the system will not send the same message to the same constituent twice, but is there a site parameter that can be adjusted to prevent the email from going to the same email address twice or how do other organizations manage this?

    The only way to prevent an email from going to the same email twice is to remove the email from one of the records that has the email. Your Luminate Online email tool will send an email to each record only once (unless otherwise configured) but as you can see, sometimes multiple records may have the same email address so that one email address sometimes can receive the same email multiple times. 

     

    What I would do here is take a look at eliminating instances where there are multiple records with the same email address. Have you ran a duplicate management report lately to see if you can tell how many records may be sharing an email address?

    I wonder about making a group of "secondary registrations that have dup email" and using that as an email supression group. I'm not even sure if you could do that in a query, but I bet it would go a long way toward fixing this issue.

     

    Alternately, perhaps a group based on DOB that filters minors from broadcast email.

    I think that would work for kids. Especially if you capture DOB info then that would make it easier. You could just build a group that is a default suppression group for an entire campaign.

    I am also creating a suppression group of constituents that are secondary registrations. There is an interaction of Type=Email Opt-In and then Subject=TeamRaiser Family Participant. So, that seems like it captured most if not all of our secondary registrations.
