Kids’ Meals Houston’s premiere childhood hunger relief organization is seeking an Administrative Assistant to support our Communications and Development team. We are a unique not-for-profit organization with a mission to end childhood hunger in Houston by delivering free healthy meals, year-round to the doorsteps of Houston’s hungriest preschool-aged children and through collaboration provide their families with resources to end the cycle of poverty.

Main Responsibilities include but are not limited to:

ESSENTIAL FUNCTIONS:

  • Perform clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for Kids’ Meals executives.
  • Arranges travel and accommodation.
  • Schedule and attend meetings on behalf of the Dev/Comm team, taking notes and recording minutes.
  • Receive incoming communication or memos on behalf of leadership, review contents, determine importance, and summarize and/or distributes contents to appropriate staff.
  • Manage the Dev/Comm leadership’s calendars including making appointments and meetings and prioritizing the most sensitive matters.
  • Coordinate and prioritize projects for the team.
  • Conduct research and gather information for various projects and initiatives.
  • Handle confidential and sensitive information with discretion.
  • Prepare, edit and maintain communications, presentations, client decks and other documents.
  • Create and maintain filing systems for each leader and ensure easy retrieval of data.
  • Provide support for all Dev/Com functions, which may include nights and weekends.
  • Research vendors, request multiple quotes and place orders for various merchandise and printing projects.
  • Assist with merchandise sales in the welcome center and at events.
  • Other duties as assigned.

REQUIRED EDUCATION AND EXPERIENCE:

The ideal candidate for this position will possess the following:

  • High School diploma, or equivalent, required.
  • 3+ years’ experience in similar role.
  • Non-profit organization experience strongly preferred.
  • Extensive knowledge in Microsoft Office Suite: Word, Excel, Outlook, PowerPoint.
  • Some experience in event planning and execution.
  • Highly prefer experience with databases such as Blackbaud, CRM or related platforms.
