THE POSITION

The Development Associate for Gifts and Records is a key member of Kingsley’s highly-collaborative, five-member Advancement team. The ideal candidate loves data and problem-solving, and is inspired by opportunities to improve data hygiene and sharpen business processes. The Development Associate for Gifts and Records’ work supports day-to-day development operations and activities, including annual and capital campaigns, fundraising events, volunteer support, and community engagement. The role requires accurate recordkeeping and reconciliation skills, and strong attention to detail. The position is part of Kingsley's audit team, so accurate reporting throughout the year and availability for annual audit preparation are required.

PRIMARY DUTIES

  • Gift Processing, Acknowledgement, and Reconciliation
    • Promptly and accurately manage gift and pledge entry and processing.
    • Produce acknowledgment letters, tax receipts and pledge reminders for all donations and maintain complete and accurate paper and electronic files.
    • Partner with the Business Office on gifts management, reconciliation, and audit and Form 990 preparation.
    • Utilize gold-standard practices for recording and reporting of financial data.
  • Database Management and Reporting
    • Manage Raiser’s Edge database. Maintain accurate constituent records in coordination with Advancement colleagues and other school departments.
    • Report on fundraising activity using Raiser’s Edge, Excel, and Google Sheets.
    • Importing and export data for mailings, donor listings, event invitations, and engagement tracking.
    • Prepare and submit Development data and metrics for the NAIS Data and Analysis for School Leadership (DASL) survey.
    • Conduct basic constituent research and contribute data for briefings, including Head of School/New Family meeting briefings.
  • Advancement and School
    • Support and staff Advancement events, including the Annual Fund Kickoff, Grandfriends Days, and Alumni Reunion. Some evening and weekend work required.
    • Lunch, recess, and arrival/dismissal duties, and other tasks as assigned.
    • Share input and ideas regarding Advancement team strategic initiatives.
    • Participate in Kingsley staff meetings and professional development

QUALIFICATIONS

  • 1-3 years experience in nonprofit database management or business operations preferred.
  • Proficiency with database management (Raiser’s Edge experience preferred, training and support available).
  • Strong technology skills, including in Microsoft Office Word and Excel, and Google Suite, and capacity to learn and utilize other web-based development tools.
  • Impeccable attention to detail.
  • Demonstrated track record of success with increased responsibility.
  • Accountability, teachability, and success working both independently and collaboratively.
  • Invested in the team’s success and ready to contribute to group discussions.
