The Constituent Research Manager (CRM) has the primary responsibility and oversight for meeting the prospect identification, qualification, research needs, and moves management processes for the NETX/LA/SETX region.

This position has the primary responsibility for administering the daily grateful patient/guest relations identification process which includes uploading daily reports and segmenting data as well as maintaining the other technical components of the program for the NETX/LA/SETX region.

The CRM will contribute to the planning and implementation activities to maximize private sector support and work collaboratively with the Vice President, Philanthropy and the individual NETX/LA/SETX Foundation Executive Directors to identify and evaluate specific prospective donors for cultivation and major gift solicitation.

Customer Service Standards
Prospect Research & Prospect Management – Major Gifts

  1. Conducts and completes research for all major donor prospects.
  2. Designs, develops, implements and coordinates all methodologies for prospect research, criteria for analysis and review, protocols for written materials and systems for distribution and retrieval of information.
  3. Designs and utilizes systems to identify new major donor prospects, utilizing all available resources.
  4. Oversees prospect rating and screening; ensures timely delivery of vital prospect data.
  5. Collaborates with NETX/LA/SETX foundation executive directors throughout the cultivation, solicitation, and stewardship process of individual major gift portfolios including regular Prospect Management meetings with each Executive Director at the Regional Office.
  6. Maintains a productivity matrix from Raiser’s Edge reports for each executive director and gift officer to track and manage the moves management process, notes/actions and productivity.
  7. Collaborates annually with Database Manager to insure regular Blackbaud Target Analytics Screen is performed on NETX/LA/SETX foundation databases.

Grateful Patient/Guest Relations Program (GP/GR)

  1. Manage the daily upload of grateful patient reports, segment data, and identify key prospects and foundation constituents for the GR Program. Ensures computer screening processes are functional daily for the NETX/LA/SETX region by providing the information needed to all appropriate Executive Directors for daily rounding identification and qualification of grateful patient prospects no later than 9:00 a.m.

Coordinate post-discharge letters weekly in tandem with appropriate Associate. Insure letters are updated and refreshed quarterly.

  1. Populates GR codes in hospital EMRs.
  2. Daily entry of all GR Rounding Notes in Raisers Edge NXT.
  3. Coordination and communication with EVS & Food Services daily on GR amenities.
  4. Conduct regular prospect strategy meetings with NETX/LA/SETX executive directors and assists with processes for same meetings with regional major gift officer(s).
  5. Manages capital campaign naming opportunity records.
  6. Track qualified “moves” in major donor prospect cultivation strategies, assist with scheduling appointments, and calendar coordination as necessary.
  7. Maintain portfolios for each executive director and major gift officer, with regular review to update, make changes, etc. Captures pertinent prospect/donor information beneficial to assigning to appropriate gift officer and provides cultivation strategy. Collaborates closely with Regional Assistant to insure cross-training and back-up of screening and prospect management processes.
  8. Assist in proposal preparation, printing, mail merging and preparing background information and materials for cultivation and solicitation activities as needed.
  9. Assists in compiling materials for use in all planned giving activities.
  10. Manage on-call schedule and calendar for Grateful Patient Program after hours.
  11. Collaborate with and provide reports as required to Executive Assistant for Vice President of Philanthropy.
  12. Other duties as assigned.
