Position Summary:

The Associate Director for Data Operations is responsible for managing the Foundation’s CRM databases to support the development team’s fundraising growth efforts while maintaining the accuracy and integrity of our constituent data. The incumbent is the technical expert for our donor database, online giving platforms, and gift processing rules and regulations. This position will support not only the National Office, but the Chapters. The position will lead by example in ensuring best practices are developed and adhered to ensuring quality of data, creating requested reports and dashboards, and providing excellent customer service to both internal and external constituents.

Responsibilities:

  • Overall management of the CRM database, including maintaining processes and procedures for data entry, hygiene, maintenance, reporting, and analysis
  • Maintain the integrity of the CRM database with current and accurate information.
  • Audit data entry practices annually.
  • Identify areas of improvement in our database processes and recommend and/or develop automation wherever possible.
  • Stay current with database structure and process changes, software updates, and fundraising needs.
  • Create and update best practices online manual for all users of CRM.
  • Ensure all data remains complete and consistent and meets security regulations for donor CRM records – state, federal and international.
  • Provide end-user support for CRM systems including adding and modifying CRM user accounts, assisting in dashboard configuration and overall CRM user support.
  • Provide regular reports for the Development Team, Finance, Chapters, internal leadership, and other team members as needed.
  • Facilitate monthly reconciliation of CRM database to financials, in collaboration with Finance and Accounting.
  • Resolves technical development data issues as they arise, with the assistance of Information Technology vendors.
  • Maintains technical knowledge and expertise of CRM software, including training other staff as needed to ensure redundancy of database skills across the organization.
  • Support database projects and ensure the accuracy and integrity of our donor data including but not limited to the process of uploading revenue/transaction files from multiple sources in CRM.
  • Ensure all documentation and workflow processes remain up to date.
  • Serve as the technical liaison for internal customers and external stakeholders.
  • Develop and provide training to all users who will utilize the CRM.
  • Build and manage relationships with CRM contractors, vendors and consultants.

Qualifications:

  • Bachelor’s degree and 3-5 years of data management experience
  • Strong proficiency in data entry, management, hygiene, reporting and analysis in CRM environment, preferably Raiser’s Edge, Omatic, and online fundraising platforms such as Luminate Online.
  • Ability to anticipate and meet the needs of internal and/or external stakeholders while delivering excellent and timely customer service.
  • Ability to clearly and accurately communicate with internal and external stakeholders.
  • Ability to handle sensitive and confidential matters with discretion.
  • Strong research and data analysis skills, including ability to gather and synthesize information from multiple sources to produce high-quality work products in a consistent, efficient, accurate, and timely manner.
  • Creative problem-solving and troubleshooting skills with a willingness to experiment and try innovative new methods.
  • Strategic thinker with the ability to take high-level strategy and translate into relatable points and action steps.
