Summary:  The Development Coordinator supports all activities and strategies to achieve the organization’s annual revenue goals. The position ensures a high standard of quality for all fundraising data, including database management, gift entry and acknowledgement, and reporting.  

This position is the first point of contact for donation inquiries, actively collaborates with the Finance Department to reconcile revenue and donations, analyzes donor data to implement best practices related to stewardship, and ensures the Development team has efficient and effective tracking systems to support fundraising and communication efforts.

An ideal candidate is highly organized, can self-manage projects, is comfortable working with software and databases, can learn multiple systems independently, has strong communication skills, and enjoys working with both internal and external constituents.

Primary Responsibilities:  
Database Management and Reporting (65%)

  • Primary user for donor database: responsible for maintaining a clean, accurate database and consistent processes for gift entry, donor management, acknowledgement, and reports. 
  • Record all donor information, gifts/grants/pledges, and large-scale communications in the donor database through uploads and manual entry. 
  • Ensure accurate recording and coding of gifts.
  • Manage the complete process of acknowledging all donations and pledges in a timely manner. 
  • Continuously improve the quality of donor data. Develop procedures and quality assurance processes to ensure the integrity of database information.
  • Find and manage volunteers or temporary staff to support data projects as the work demands.
  • Manage online donation forms and process credit card gifts. Troubleshoot obstacles related to giving platforms, donor database, and other online platforms. 
  • Design and run reports and imports, including reports to support the Development team, communications, finance, grants, and volunteer services. 
    • Coordinate and execute queries and mailing lists for newsletters, communications, and fundraising campaigns.  
    • Manage the backbone of the moves management system by creating and updating statuses, proposals, and developing processes for capturing call reports, etc. Share reports for regular review and use by multiple team members.
  • Support Gift Officer in tracking and reporting out on donor demographics, personal giving histories, personal and professional relationships, and wealth analytics.

Budget Reporting and Reconciliation (10%)

  • Partner with the finance team to ensure donation and accounting accuracy; reconcile fundraising and accounting data. Proactively research issues and communicate results.
  • Act as the liaison between 3rd party fundraising portals, Raiser’s Edge, and finance records to identify and rectify discrepancies using detail oriented, collaborative problem solving. 
  • Provide regular budget updates, including year to date, month to date, event totals, and campaign and appeal totals. 

Strategy and Procedures (5%)

  • In partnership with the Annual Giving Manager, maintain processes for superior stewardship of donors and other partners, including the new donor welcome process.
  • Analyze donor data to identify trends which will drive strategic decision making and develop strategies to increase donations. 
  • Develop and establish work procedures and standards to improve efficiency and effectiveness of duties.

Customer Service (10%)

  • Act as point of contact for donation inquiries, gift tracking, and acknowledgements. 
  • Coordinate in-kind donation inquiries and processes, including acting as the liaison between program and donors to communicate in-kind needs. Oversee the in-kind donation wish list. 

Events (10%)

  • Work closely with the Event Coordinator to manage event software, including registration process, ticketing and RSVPs, and bidding platform. 
  • Track pledges, ticket sales, and invoice event sponsors.
  • Provide general support including ordering and managing supplies, creating name tags, and overseeing registration at events.

Education & Experience:

  • Associate degree or comparable work experience
  • 2-5 years professional experience in fundraising, CRM or database management, or finance.  
  • Demonstrated experience entering data accurately, timely, and pro-actively. Experience with Raiser’s Edge or similar donor database management system preferred.

Skills & Abilities:

  • Excellent organizational skills, meticulous attention to detail and follow-up. 
  • Strong computer skills, including demonstrated experience with database software, manipulating data in Excel, proficiency in Microsoft Word. Ability to learn new technology.
  • Self-starter who can prioritize multiple projects and deadlines simultaneously, work independently, and ask for assistance and clarification as needed.
  • Ability to anticipate needs and work collaboratively to support a dynamic Development department.
  • Creative problem solver; flexible and adaptable to change.
  • Ability to communicate effectively, positively, and professionally with staff, donors, and volunteers.  Strong interpersonal, written, and verbal communication skills.
  • Demonstrate sensitivity in handling confidential information.
