Position Summary:

Reporting to the Director of Development, the Development Database Manager is responsible for the administration and management of the fundraising database and integrity of the database. Works closely with the Marketing team. Tasks to include gift entry, gift acknowledgment, queries and reporting. The Database manager is also responsible for online and credit card donations and maintaining this process. The Database Manager is the primary point of contact for the organization's donor development software ensuring date integrity. Collaborate with accounting to reconcile donation accounts monthly. Organize and execute donor recognition and cultivation events.

Duties:

· Streamline and manage all gift processing which include gift acknowledgements, endowment reports, maintenance of gift documentation, and donor recognition publications.

· Reconciles batches with Raiser’s Edge (RE) and prepares batches for daily deposit.

· Ensure that advancement policies & procedures and campaign counting standards are followed while maintaining donor confidentiality of health and financial information.

· Stay up to date with appropriate laws governing philanthropic giving and IRS compliance.

· Utilize queries for custom mailings; event invitation mailing, soliciting gifts, annual report mailing lists, donor listings, direct mail and email marketing tracking results and analyzing trends. Marketing background a plus.

· Utilize reporting tool for data analysis and visualization to maximize fundraising efforts.

· Maintain and improve data integrity by running regular system checks.

· Ensure the database is clean, up-to-date, and consistent updating the database routinely for all fundraising activity and statuses.

· Develop and oversee processes and procedures to ensure consistent entry of data as well as documenting best practices for other related processes within Development. Ensure as documenting best practices are implemented and shared as needed.

· Updates biographical data in RE as provided by constituent’s information on checks and/or correspondence. Accurately update donor records to reflect actions, appeals and event attendance

· Manages incoming calls, emails, and general correspondence to the development office; provide excellent customer service in assisting with calls.

· Prepare financial reports, gift reports and reconciliation reports on a monthly, quarterly, and annual basis in coordination with the Finance Office.

· Maintain development technology including software’s/applications (Raiser’s Edge, online express, Credit Card, PayPal, etc.)

· Assist in the planning of successful cultivation, recognition and donor relations events designed to increase support and awareness of the Graceworks mission. Duties would include the preparation of guest lists, mailing invitations, tracking responses for invitees, preparing guest nametags, assisting with guest registration, coordinating with appropriate departments and outside vendors concerning food requirements, room reservations, set up, transportation, entertainment, etc.

· Provide support and coordinate with grant writer researching and tracking funding opportunities with various foundations and funding sources.

· Share responsibility for secure door entry, mail distribution, event support.

· Perform other duties as assigned.

Qualifications

· Understanding of and experience with the principles of fundraising and data analytics.

· Highly organized and strong attention to detail. Marketing background a plus.

· Bachelor’s degree from an accredited college or university or equivalent combination of relevant work experience and training.

· Three years’ experience managing a development or CRM database. Knowledge of Raisers Edge 7 and NXT preferred.

· Must be proficient in Microsoft Office programs, as well as excellent keyboarding skills.

· Adherence to strict confidentiality of member and donor-related information. Strong client services- oriented approach, and the ability to communicate with a wide variety of people in a thoughtful, diplomatic, and enthusiastic manner.

Physical Requirements

· Sedentary work is required to exert up to 10 lbs. of force occasionally and for a negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects. Position involves sitting most of the time, but may involve walking or standing for brief periods. Frequent reaching, handling, fingering and eye/hand coordination is required.
