POSITION OVERVIEW


The position of Prospect Development and Research Manager is integral to the success of Westminster’s Office for Institutional Advancement (OIA). As a member of the Leadership Giving Team and in partnership with the Advancement Operations team, the Prospect Development and Research Manager’s primary responsibilities are to proactively identify prospects and implement and manage a moves management system that supports fundraising for annual, capital, and planned giving priorities. The Prospect Development and Research Manager helps move the School’s ambitious fundraising strategy forward through managing wealth screenings, maintaining portfolios for development team members and volunteers in alignment with goals, tracking metrics related to prospect management, and providing focused research to identify prospects and create associated profiles.

Position Status: Salaried, non-exempt, full-time, regular, 12-month

Hours of Work: Monday through Friday; core hours are 8:00 a.m. to 4:30 p.m. Evening and weekend work may be required. Eligible for Remote Work Arrangement.

ESSENTIAL RESPONSIBILITY: Prospect Management


  • Promotes the efficient use and integrity of the database (The Raiser’s Edge NXT - “RE”) for moves management.
  • Extracts and reports accurate and relevant data from RE including creating queries, exports, and reports in support of the Leadership Giving Team’s fundraising efforts.
  • Evaluates and manages prospect pipelines to meet the needs of the School and an ambitious capital campaign. In partnership with the Director of Leadership Giving, work closely with prospect managers to ensure accuracy of pipeline and activity reports.
  • Collaborates with advancement staff to enhance the high quality moves management program that encompasses prospect cultivation, solicitation, and stewardship strategies.
  • Supports a data-driven portfolio management system that provides prospect managers and supervisors a way to track activity and production and holds fundraisers accountable. Provide OIA Leadership with information about, and analysis of, fundraiser performance.
  • Develops and employs prospect research procedures utilizing wealth screening results to help identify and assign to prospect managers for qualification.
  • Works closely with the Director of Leadership Giving to manage Prospect Management meetings, advise on best practices, collect and integrate information from meetings, and ensure activity discussed in meetings moves forward.
  • Interacts extensively with team members using the database and prospect management systems, ensuring that accurate information is maintained in and extracted from RE for use by fundraisers and volunteers.

ESSENTIAL RESPONSIBILITY: Research


  • Prepares confidential in-depth profiles on individuals, foundations, and corporations for members of the advancement team, senior management and the President’s Office, trustee leadership, and key volunteers to include financial assets, potential for philanthropic support, historical giving, areas of interest and other affiliations.
  • Manages the collection, analyzing, and interpretation of internal and external data to identify, benchmark, and screen prospects for fundraising strategies. Through findings, propose identified prospects to prospect managers based on a strong understanding of department goals and objectives.
  • Provides vision and leadership for projects such as targeted asks, new family research, and wealth screenings and ultimately apply findings where appropriate.
  • Gathers background and updated information through the systematic review of print, electronic sources, lists and reports on existing/new prospects and key volunteers to ensure prospect records are updated promptly in the database.
  • Completes special projects as assigned, such as gathering historical background and family relationships, and validating electronic screenings.
  • Responds to internal prospect research inquiries and present information in a variety of written formats including profiles, reports, summaries, and abstracts.
  • Reviews SEC documents, corporate press releases, real estate records, private company data, philanthropic interests and other indicators to assess viability, solicitation timing and potential capacity and code appropriately in the database.
  • Manages data entry and data integrity activities associated with research findings.
  • Other duties as assigned.

REQUIREMENTS AND QUALIFICATIONS

  • Bachelor’s degree required.
  • At least three years of demonstrated experience in prospect research/prospect management, development, or information field, including at least one year of experience analyzing and synthesizing data sets and producing highly readable, informative reports and presentations required.
  • Excellent information technology skills with aptitude to learn and effectively utilize tools at a ‘power user’ level. Experience with a relational database such as The Raiser’s Edge preferred and electronic database screening.
  • Must have substantive knowledge of prospect research skills and experience in the use of electronic prospect screening information, online resources, and subscription services.
  • Exceptional analytical skills and the ability to organize and synthesize essential information and to present information in highly usable forms and on a timely basis.
  • Ability to create and implement effective tracking systems.
  • Impeccable attention to detail, accuracy, and quality of work product.
  • Self-starter with ability to work independently and take initiative to meet deadlines in a creative, fast-paced environment.
  • Demonstrated ability to work as an effective team member, manage multiple projects and priorities, to respond effectively to change, and to manage demanding work situations and deadlines.
  • Preference given to candidates with understanding of and competency with the Association of Professional Researchers for Advancement (APRA) skill sets – specifically in Prospect Research and Research Management.
  • Strong ethical sense to handle confidential and sensitive information appropriately.
  • Excellent technical skills. Proficient in the use of Microsoft Office products and Google tools. Knowledge and experience with a Mac environment preferred.
  • Prior project management software experience, Raiser’s Edge and Asana preferred.
  • Growth mindset with active engagement in individual and departmental professional development and best practices.

PHYSICAL DEMANDS AND WORK ENVIRONMENT


While performing the duties of this position, the employee is required to sit; stand; walk; use hands to finger, handle and feel objects, tools, or controls; reach with hands and arms; balance; stoop, kneel, crouch and crawl; talk and hear; and engage in moderately strenuous physical activity both indoors and out. The employee may occasionally lift or move up to 20 pounds. Specific vision abilities required by this position include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.
