Entering Offline Donations without an Email Address

Options

We are receiving check donations in our office to be credited to a teamraiser participant however, the donor does not provide an email address.  When I try to enter the offline donation to the participants record as an Admin, I receive an error message stating I must have an email address to continue.  An alternate error message appears if there is an existing constituent with the same name, but who is not the same person and I am unable to create a new record without an email address, thereby I am not able to enter offline donations for teamraiser participants.

Is there a setting that can be updated to allow for offline donations to be added without entering an email address for the donor? or is there a workaround that will not create messy data?

Thanks,

Karin

Are you going into the participant's Cons360 record or through "Manage" for the participant's Participant Center?

  • Kent Gilliam:

    I'm going through Manage.

Here is the track I follow.

    Manage Teamraiser

Search for Participant, click on their name

Click "Enter Offline Gift" and then Create a New Donor.

This issue also happens to Event Managers in the Event Management Center

when they try to Record a Donation on a participants record.

    Thanks,

    Karin

Ok... So I dug around and here's what I discovered. By default, when you enter an offline gift into a participant's TeamRaiser record it does not require an email. However, there is a way to use CSS (or this way: http://community.convio.com/t5/TeamRaiser/Offline-donations-coming-through-Teamraiser-without-email/m-p/59492/highlight/true#M1091) to force email address to be entered. So apparently someone has requested this to be done to your site. The question now is, who? And can you remove that?

I would check around internally. This may have been something you requested when you deployed. But good news is it's easy to remove.

Hey Kent, that link refers to offline gifts from the Participant Center, not the Admin back-end.

This sounds more like a site-option or something like that.

Yes, I checked our Participant center and that code is not there.

I am working on Covenant House's Sleep Out: Executive Edition. We have a

Wait... Are you exploring this in the blueprint? You have 12 or more "Executive Edition" events. Is there a specific one that you're trying to enter an offline gift for a participant?

So I went into your New Orleans one and found a participant. I then chose to enter an offline gift into his participant record. I chose to create a new record. When doing this it does not force me to enter an email address:

The problem I have encountered is this. I enter a donor name that is

already existing in the system, but is not the same person. So if Jane Doe

already exists and I have different person who also happens to be named

Jane Doe, I am forced to enter a different email address otherwise the

system is trying to force me to select Jane Doe #1 as the donor. If Jane

Doe #2 hasn't provided an email address with her donation, then I can't

    enter the donation.

I am not exploring this in the blueprint. This has happened on multiple

event sites, most frequently New Orleans and New York.

So I can only test this in our testing site. When I go into a participant's record I can see the names of the other donors. I chose to create a new record and enter a name that already existed in the system. I then hit next without an email address or anything more than first and last name. The system recognizes a possible duplicate and gives me a page where I can select whether to create a new record or use the existing record. Either option I choose: create a new or use the existing (both without an email) gives me the same outcome. I can select the gift amount and process it successfully.

I have some time to jump on a screenshare this afternoon if you'd like to do that. But I simply can't replicate your error.

Ok... I just realized why this is doing this for names. You have the site option F2F_ENFORCE_UNIQUE_NAME_AND_EMAIL set to TRUE. This means you can't just have Jane Doe (1) and Jane Doe (2). Honestly I don't know why this is used most of the time. I would suggest changing this to FALSE and changing F2F_ENFORCE_UNIQUE_EMAIL from FALSE to TRUE.

    Hope this helps!

    Kent
