How do I change the contact information on the tax receipt

Options

Hi, we received a call from a donor requesting to have the donor information on the receipt changed.  Within TeamRaiser (Transactions menu) we changed the donor contact name, then regenerated a receipt but the name on the receipt still displayed as the original donor.

I Contacted Convio Support who said we were likely using the [[S120:dc:donorName]] to pull in the name for the receipt.  They advised that we use the S1 tag instead of the S20, which would look something like this: [[S1:FIRST_NAME]] [[S1:LAST_NAME]].

We changed the tag and the donor's name still doesn't change on the receipt after we edit and save it.

Anyone have any ideas on how we can do this?

Thanks

Rich Blackman

    Richard,

It definitely wouldn't be a need to use the S1 tag. The receipt is based on the billing information and not the contact record information so you have to use an S120:dc tag. It sounds like you're only changing the donor contact name and not the billing info and I'm actually not sure that's even possible. Have you tried creating a record for the new named person and then changing the credit of the gift to that record instead of the one it's currently in? I'm not sure how the gift ended up in the wrong person's name but the only other option I know would be to refund the current gift and ask that it be made again using the correct person's info.

    Hope this helps,

    Hi Kent,

    Great, thanks for the tip.

Yes, in most cases we'll be just changing the donor's name.

In a current case we're trying to change the donor's complete billing information - We had a registrant who accepted a cash donation from a friend.  She entered the donation online using her own billing name and credit card and the tax receipt was generated with her name and contact info. She contacted us to switch the receipt to her friend's name and info - so we started looking into ways to alter the receipt template to reissue receipts for changed donor information.

We haven't tried creating a record for the new named person and changing the donation credit to them. I'll give a try this afternoon for the above problem.

    Thanks again for the tip.

    regards,

    rich

Yeah it's tough to manage scenarios like this where someone gives the participant cash and then the participant makes a gift using their debit/credit card. There's no way to put that info into the donation since the participant didn't enter any of the actual donor's info and most forms are not setup to record a third-party gift like this. There's no telling how many donors donate to participants with cash gifts and never get a tax receipt because the participant makes a lump gift using their own card. But I think if you create a new constituent record for the actual donor and then change the credit of the donation to that person and then run the PDF receipt that it will change it. The only other thing I know to do would be to manually create a receipt for the donor.

If you want you could use the attached Word doc.
