Union Gospel Mission Position Description
POSITION TITLE: Database & IT Support
REPORTS TO: Database & IT Support Manager
SUPERVISES: N/A
LOCATION: 3 NW Third Ave, Portland OR 97209
STATUS: Full-time, 40 hours per week, onsite Monday – Friday 7am – 5pm (flexible)
WAGE: $35,000 annually plus benefits
OVERALL POSITION DESCRIPTION:
The Database and IT Support person is responsible for processing all donations. They play a key role in the morning gift process making sure accountability and accuracy are always maintained. They pick up the mail, open the gifts and do the data entry. Provide excellent customer service to donors by following up promptly to donor requests for changes in database information, mailing schedule or desire to change their giving. The IT Support role will help all staff with technology issues including computers, servers, copiers, telephone systems and any other asset that the Support Manager assigns. Provide repetitive training on the best way to utilize technology.
RESPONSIBILITIES AND OUTCOMES:
Database Support Responsibility
- Be a team player with the Database & IT Support Manager and LifeChange Data Entry person or volunteers when available
- Provide great customer service to donors, staff and volunteers
- Become an expert in utilizing our database software and systems
- Are a key player in the morning gift process from beginning to end
- Maintenance of the database as assigned
- Follow up with donor needs
- Provide development support at fundraising events
- Other things the support manager assigns
Database Support Outcomes
- Ensure that two-person accountability is maintained
- Process all donations Monday - Friday
- Get the money in the bank
- Scan the daily gifts
- Verify the gifts
- Support the manager with the receipt process
- Maintenance of the data base to ensure accuracy
- Respond to donor needs within 48 hours whenever possible
IT Support Responsibility
- Be a team player with the Database and IT Support Manager
- Maintain and protect the computer infrastructure within UGM
- Provide support to staff and key volunteers with computer, software, phones systems, smart phones, printers and copiers needs
- Reinforce utilizing the IT maintenance request procedures
- Provide ongoing training with technology as assigned
- Work with vendors the support manager hires
- Look for new ways to utilize technology within an agreed budget
IT Support Outcomes
- Create priorities in agreement with Support Manager
- Within 48 hours communicate to staff when and how you’ll deal with their requests for help
- Provide excellent support solving issues promptly
- When work has been completed communicate what has been done to staff and supervisors
JOB REQUIREMENTS:
- Competency with MS Office suite
- Competency with Raiser’s Edge & RENXT (willingness to embrace core skills training)
- Competency with Volunteer Hub, Wufoo, iCapture, MailChimp, Social Media Platforms, Qgiv, Authorize.Net, PayPal, etc.
- Customer service mindset with a motivation to provide donors/volunteer/guests a positive experience.
ADDITIONAL INFORMATION:
- A criminal history and background check are required and must be successfully completed
- Ability to effectively handle multiple tasks as assigned
- Ability to walk up and down steps
- This is an onsite position that requires a willingness to work a typical M-F 9-5 schedule time has some flexibility 7am-5pm.
- This position has a Q4 Sept 15th-Jan 15th moratorium on vacation because of the increased workload during this time period vacation requests are discouraged during Q4 reasonable consideration is made to compensate this requirement with flexibility during the remainder of the year and every attempt to protect your family time around holidays and days off is honored.
- The daily process follows a strict timeline that impacts multiple departments and outcomes as such it takes priority of all other job functions and commitments.

- “Service First” this role requires a servants heart the diverse skills an requirement of the job are such that tasks will come that are beyond the scope of any job description, working with the mindset that we will do our best to do whatever we can to support UGM in fulfilling the Christ calling in all areas.
- UGM makes every effort to separate your personal time from work time, from time to time a willingness to be flexible in covering on call emergent needs or schedule changes may be requested by the Dept Head.
QUALIFICATIONS:
Character: Strong commitment to the vision and values of Union Gospel Mission, have a passion for the gospel, and a desire to serve the homeless, broken, and addicted. Must be a follower of Jesus Christ and actively involved in a local Christian church. Must adhere to UGM’s statement of faith and standards of conduct.
