POSITION SUMMARY
The Fannie and John Hertz Foundation seeks a detail-oriented and strategic Campaign Coordinator to help manage the Hertz Foundation’s first comprehensive campaign. The campaign is scheduled for a 3-year duration, July 1, 2023-June 30, 2026, and this position is just over a 3-year contract lasting until December 31, 2026, with a possibility of turning into a permanent role depending on the future needs of the organization.

Reporting to the Director of Annual Giving and Development Operations with additional reporting to the Chief Development Officer, the Campaign Coordinator will play a key role on the Foundation’s development team. Working closely with all Foundation staff, the incumbent will be responsible for the strategic management of the many moving parts of a comprehensive campaign. The Campaign Coordinator works closely with Hertz staff and volunteers to help keep the campaign on schedule and progressing with a high level of visibility and momentum that engenders a sense of excitement, optimism, and confidence in achieving the foundation’s campaign objectives. In addition to helping plan key elements and timing of the campaign phases, the incumbent will be responsible for campaign reporting and analysis, creating major and principal gifts prospect presentations, proactive prospect research, and supporting key campaign volunteers, which includes members of the foundation’s Board of Directors and Campaign Task Force.

The Campaign Coordinator must be both donor-centric and detail-oriented, while demonstrating consistency and exceptional quality in their work. An advanced working knowledge of Raiser’s Edge/NXT Dashboard and Microsoft Excel is required, and prior experience with data visualization tools is helpful.

PRIMARY RESPONSIBILITIES/DUTIES

Reporting and Campaign Data Analysis (30%)

  • Create and execute donor reports, including giving summaries
  • Develop campaign reports for Campaign Task Force/Board to measure progress to goal; ensures they are accurate, up-to-date, and accessible to Development Team members
  • Synthesize campaign data into actionable recommendations for the Development Team, Campaign Task Force, and Development Committee
  • Maintain an updated list of campaign naming opportunities

Major Gifts Donor and Campaign Solicitation Support (25%)

  • Work with the fundraising and communications teams to develop a prospect presentation template and customize for individual prospects, as needed
  • Support gift officers to schedule meetings for prospective donors, including coordinating schedules, making reservations, and sending confirmation emails
  • Confer with gift officers after major gift donor meetings to identify follow-up action items and complete or delegate accordingly
  • Conduct reactive and proactive prospect research to identify prospective donors and to gather information about both new prospects and current donors; coordinate with external prospect research vendor for more in-depth research, as requested

Campaign/Development Event Coordination (20%)

  • Manage event planning process
    • Identify venue, manage event contracts and logistics, work with venue coordinator(s)
    • Work with Development Assistant to create invitation list and registration forms or specialized, personal invitations, where appropriate. Help manage RSVPs and track event attendance.
    • Work with communications team to develop event invitations, procure speaker gifts and event collateral, send event follow-up to guests (could include post-event surveys)
  • Respond to guest inquiries and work with event host(s)
  • When appropriate, provide onsite coordination at the event

Volunteer Management (15%)

  • Schedule and attend Campaign Task Force and Development Committee meetings; includes confirming availability with all participants and setting up virtual meetings based on availability
  • Take minutes at Campaign Task Force meetings
  • Assist with campaign-related requests from Campaign Task Force/Board
  • Coordinate internal follow-up on action items as it relates to the campaign

Other Support (10%)

  • Review gift data to ensure all campaign gifts are appropriately booked and credited
  • Work closely with the Communications team to ensure the campaign is kept in the public’s eye and to maintain its momentum, work with Comms colleagues on shared collateral and electronic messages
  • Work with Database Admin for additional campaign data needs, as requested

REQUIRED SKILLS

  • Minimum 2 years of experience in Raiser’s Edge and NXT, including the Query/Export functions and building Dashboards. Additional experience with NXT Insight Designer and Online Express preferred.
  • Experience conducting in-depth prospect research utilizing wealth-screen data and additional online resources; ability to synthesize data into briefings for both internal and external audiences.
  • Proficient in Microsoft Office Suite, advanced skills in Excel.
  • Ability to handle confidential information appropriately.
  • Strong interpersonal and communication skills; ability to build rapport with others to achieve shared goals.
  • Ability to effectively manage time and prioritize responsibilities to meet deadlines.
  • Demonstrated ability to be proactive and take initiative; ability to effectively seek out and research information needed to complete work.
  • Strong attention to detail and accuracy.
  • Excellent written and verbal communication skills.

PREFERRED SKILLS

  • Experience using data visualization tools (e.g., Tableau, Microsoft Power BI)
  • Experience with MailChimp, including importing audience lists, creating, and deploying campaigns, and measuring ROI.
  • Experience with ThankView, including importing audience lists, creating, and deploying campaigns, and measuring ROI.
  • Experience utilizing project management software (e.g., Asana, Trello, Microsoft Project)

EDUCATION

  • 2-4 years of related work experience required; college degree preferred.

OTHER CONSIDERATIONS

Though the Foundation is headquartered in Pleasanton, CA, this role can be performed remotely from anywhere in the U.S. All technology required for this remote role will be provided. Occasional travel will be required for all-team staff meetings, meetings of the Board of Directors and/or Campaign Task Force, and the annual Summer Workshop for all Fellows, generally held in mid-July in varying locations across the United States.

Although a benefit of working at the foundation is time off during the holiday season (the last two weeks of December), as a member of the Development Team, the Campaign Coordinator should be accessible and available for urgent campaign and donor-related matters during this period, within reason, outside of recognized holidays. This benefit is in addition to individual vacation time accrual.

The Hertz Foundation requires all staff to be vaccinated for COVID-19 and will require proof of vaccination status as a condition of employment for this position.
