JOB SUMMARY:

The Major Gifts Coordinator will work to support administrative, scheduling and data needs for the Associate Vice President for Institutional Advancement and the Director of Major Gifts. The Major Gifts Coordinator will also provide administrative support to the Major Gifts team. Serving as an integral member of the Major Gifts team, the Major Gifts Coordinator is also responsible for managing the President's schedule for donor visits and for coordinating with the Senior Vice President for Strategy and Institutional Advancement, Associate Vice President for Institutional Advancement, the Director of Major Gifts, and members of the Major Gifts team to prepare briefing materials for donor meetings. Briefings include, but are not limited to, talking points (meetings and public events), financial data, historical background, proposals, individual briefings, and detailed travel itineraries. The deadline-based nature of this role requires an individual who is able to prioritize the tasks at hand, to have many balls in the air at the same time, and to be able to plan ahead while keeping focus on the details for the immediate engagements.

ESSENTIAL FUNCTIONS:

  • Provide administrative support to the Associate Vice President for Institutional Advancement, the Director of Major Gifts, and team gift officers, including calendar management, travel plans, and expenses.
  • Serve as the primary point in the Advancement Office for coordinating donor meetings for the President and for preparing necessary briefing and supporting materials for upcoming appointments.
  • Serve as the Major and Planned Gifts liaison on the Advancement and Engagement team, developing and managing systems for document sharing, organization, and resources.
  • In partnership with the Associate Vice President for Institutional Advancement and the Director of Major Gifts, assist in the analysis and development of fundraising reports to analyze fundraising data and to track goals, giving and fundraising activities.
  • Support Advancement team in management of the marketing and communications calendar, including mailings and events.
  • Support production of marketing appeals and communications, including data generation, and working with print and design vendors to ensure proper execution of appeals and print pieces.
  • Assist with event coordination and programming.
  • Maintain accurate records in Raiser’s Edge database and Raiser’s Edge NXT for fundraisers.
  • Serve as liaison for select foundation grants and proposals in partnership with the Director.
  • Serve as a first point of contact in the Advancement office for donor inquiries.
  • Process invoices for the Advancement and Engagement office.
  • Assist with gift processing as needed.
  • Other duties and special projects as assigned.

This role is eligible for a hybrid work arrangement.

QUALIFICATIONS:

  • Bachelor’s degree.
  • Strong communication skills with a commitment to customer service.
  • Ability to work efficiently to schedule, prioritize, and complete multiple tasks while adhering to deadlines.
  • Can work successfully on independent projects and effectively collaborate as part of a larger team.
  • Strong computer skills and a proficiency with Google Workspace, Word, and Excel. Ability to learn Raiser’s Edge/NXT.
  • Availability to work occasional nights and weekends, as required.

Salary Range: $50,000 - $60,000
