GENERAL FUNCTION AND JOB DUTIES

General Function

Support the Office of Institutional Advancement at Central Piedmont Community College by managing the critical role of maintaining the fundraising database and related applications of the Central Piedmont Community College Foundation. This includes:
● designing, building, and delivering complex qualitative queries, reports, and lists to facilitate the work of the advancement team;
● database cleanup, daily imports, reporting metrics, analyzing trends, custom fundraising reports,
and records maintenance;
● monitoring the integrity of data and translating data into usable, actionable information for the
formation and execution of fundraising strategies and metrics;
● coordinating and synthesizing information from multiple sources, supervising gift and data entry
functions, ensuring best practices in gift processing and data management;
● collaborates closely with Finance, Scholarship, and Website colleagues for data reconciliation,
scholarship management, and online related fundraising functions.

Characteristic Duties and Responsibilities

1. Manages Raiser’s Edge/Raiser’s Edge NXT database, overseeing system updates, new feature rollouts, data integrity and security/access for system; current environment includes 90,000+ constituent records and Blackbaud Analytics.

2. Oversees daily data entry, including creation of new constituent records, event records and rsvp management, new financial funds, and all gift processing and adjustments; researches and makes database corrections as needed.

3. Using query and reports extensively, enters and extracts relevant information for fundraising reports, research, and mailing lists; develops and delivers customized information and analysis to advancement staff; manages appeal process with development team by producing segmented mailing lists and loading appeal codes into Raiser’s Edge for gift entry procedures.

4. Drafts written procedures and training materials related to data entry and reporting including constituent information, gifts and funds, events, research, prospect development, stewardship activities, and scholarships, collaborating with other staff as appropriate and oversees the implementation of data entry standards and best practices.

5. Proactively leads regular database hygiene and maintenance efforts, including duplicate management, NCOA, research and updates of specific datasets, and periodic audits.

6. Responsible for database cleanup, the overall accuracy, integrity, and reliability of alumni/donor data, donor data management systems, and reporting processes.

7. Analyzes business procedures and issues to provide solutions for process improvement.

8. Designs and updates timely fundraising dashboards and provides donor updates to the development team.

9. Provides database training on procedures to development staff and oversees security features, accounts, roles, and privileges for users.

10. Accesses the performing arts database to support arts fundraising activities.

11. Produces donor recognition and stewardship lists for materials and mailings, including annual reports. Collaborates with and assists Central Piedmont Communications, Marketing, & Public Relations to ensure the accuracy and integrity of mailing lists.

12. Serves as subject matter expert and primary contact with Blackbaud for the college’s products and services.

13. Coordinates with website manager (or related position) regarding online fundraising and communication functions.

14. Works with external vendors to update addresses and integrate this information in the appropriate databases.

15. Stays abreast of new and developing tools, technology, and processes related to higher education alumni and donors, and makes recommendations to the advancement leadership regarding updates/upgrades or new tools needed.

16. Provides back-up support to gift-processing staff as needed

17. Maintains confidentiality regarding all gifts and other office assignments.

18. Other duties as assigned

Knowledge, Skills, Abilities and Characteristics

Extensive knowledge of fundraising databases, specifically Blackbaud’s Raiser’s Edge/NXT, and financial reporting

Association of Fundraising Professionals code of ethical conduct, National Committee on Planned Giving ethical practices and the Donor Bill of Rights

Understanding of donor/development relationship; ability to communicate with internal and external partners from diverse communities with respect and attention to justice, equity, diversity, and inclusion

Policy and procedure development and administration

Organization and attention to detail with a commitment to data integrity and quality of work

Resourceful, critical thinker who uses sound judgment

Excellent analytical and problem-solving skills

Extensive experience importing and exporting data

MINIMUM QUALIFICATIONS

Associate’s Degree from an accredited college or university with a minimum of four years related experience or Bachelor’s Degree from an accredited college or university with a minimum of three years related experience.

Preference for certification in Blackbaud’s Raiser’s Edge and Raiser’s Edge NXT
